Dean’s Office, Administrative Support Staff - College of Biblical Studies

Scope: To provide purposeful, immediate administrative support to the Dean’s Office.
I. Basic Responsibilities
Maintain CBS calendar and room schedules
Provide budgetary support.
Supervise Student Employees
All other duties as assigned
II. Essential Duties include the following. Other duties may be assigned. Reasonable accommodations may be made to enable individuals to perform the essential functions.
Receiving and welcoming all guests to the Dean’s office
Answer telephone and route calls to appropriate staff
Respond to and forward appropriate email and electronic communication
Represent the Dean’s office in a professional and friendly manner to all administrators/faculty/staff/students
B. Administrative Support
Manage Dean’s calendar
Manage and coordinate all travel arrangements for the Dean, when needed
Update and maintain CBS Constant Contact database and provide email support to CBS Centers and Departments
Provide administrative support to the Dean’s Assistant and to the Dean as needed
C. Maintain CBS Calendar and Room Schedule
Schedule building for all events including academic exceptions - other than full-semester academic room assignments. Will work in coordination with the CBS Academic Advisors.
Coordinate and schedule all weddings in the Chapel on the Hill including contracting and payments
Maintain the on-line calendar showing all CBS room reservations and track the on-line requesting process in coordination with all other administrative staff and coordinators
Process room rental for all outside organizations including: contracts and insurance provisions; processing rental fees; providing opening/closing support; on-site supervisory personnel and technical support staff as needed
D. Provide Budgetary Support
Organize and track all receipts and complete all input needed in JPMorgan on-line reporting to complete monthly p-card reports for all Deans office personnel
Pull Banner information and help update/input Deans office budgetary spread sheets
E. Supervise Student Employees
Assist in recruiting, hiring and training all student workers
Set up work schedules, assign tasks and review work
Assist and support student workers in maintaining: building opening/closure, supply orders and technology support to the College
ACU is affiliated with the fellowship of the Church of Christ. This position requires the employee to be a professing Christian and to be willing to support the Christian mission of ACU.
Two years college education with courses in business management or two to three year’s administrative experience.
Excellent verbal and written language skills
Strong organizational and problem-solving skills

Knowledge of MS Word, Excel, Gmail and Google calendar
Excellent interpersonal skills
Task and schedule flexibility
D. Training Modules Required (Provided by ACU)
Google, Gmail, Banner and CS Gold (current ACU software)
IV. Physical Demands
Sit and stand for long periods of time, some bending and lifting
Frequent walking across campus and throughout Biblical Studies Building
Ability to handle stress of multiple tasks and deadlines
Able to work hours other than regular business hours as needed to complete assigned tasks during special events.
