The position is the front-office contact for the department—customer service is important. The position requires numerous departmental administrative duties to support programs in Aerospace and Ocean Engineering. Duties include: ordering materials and supplies to support approximately 50 research projects and undergraduate design projects using HokieMart and the corporate credit card; processing travel forms and travel reimbursement vouchers for students and faculty; performing student services as needed; assisting with collection and processing of articles for the Hokie Flyer (alumni newsletter); assisting with developing departmental brochures to publicize the department’s course offerings and programs; working directly with faculty as liaison for invited seminar speakers; assisting business manager with fiscal activities and record keeping; working with department head, assistant department heads, faculty and other office staff in performing ongoing activities of the department.
Experience working in a fast-paced office environment in which multitasking and a variety of office skills are required; proficient use of various computer applications such as, Word, Excel, PowerPoint and Outlook; excellent customer service skills; general accounting or bookkeeping skills; excellent communication skills needed for interaction with administrators, faculty, students and staff in a pleasant and professional manner.
Working knowledge of State of Virginia policies and procedures for purchasing and travel; experience using HokieMart; experience using Banner and Scholar; experience working in an academic departmental office at Virginia Tech where direct contact with students is required.
