SUMMARY:
Provide administrative support to the Ladera Ranch Community Services (LARCS) Team as needed. Primary responsibility to include but not be limited to supporting the front desk operations, community website support to residents and Club Leaders, support to the community programmers and administrative support to the community volunteer program and the community events.

PERFORMANCE REQUIREMENTS:
  • Provide administrative support to the Recreational Program to include coordination and monitoring performance of all program vendors
  • Provide technical support to the Volunteer Club Leaders/LaderaLife Club pages as needed
  • Design and create draft layout of the quarterly newsletter using Adobe InDesign
  • Provide administrative support to the Neighborhood Activities Coordinator Program and the Teen Leadership Council as needed
  • Provide administrative support to the Events Team for the annual calendar of community events to include the design and creation of event promotion collateral, and Event planning/preparation as well as Day of Event support as needed
  • Attend and assist at all community events and requested meetings as needed
  • Maintain all LARCS storage areas to include inventory control
  • Manages LARCS filing system for all vendor contracts
  • Support the Ranch Hands Volunteer Committee and the timely and accurate maintenance of the Volunteer data base and volunteer reports as requested
  • Resident Assistance and Front Desk coverage
  • Demonstrate effective verbal communication with residents, the LARCS Board, committee members, and staff
  • Demonstrate effective written correspondence necessary to perform the job
  • Ability to format and compose business documents as assigned
  • Handle all mail, process any Federal Express or courier packages as necessary
  • Assist team as needed with copying, filing, phone calls and other support as necessary
  • Support to volunteer recruitment and volunteer coordination at LARCS/ LARCS partnership events
  • Responsible for updating and maintenance of the LARCS photo library
  • Run errands as needed for the LARCS Team to include picking up meeting food, restocking soft drinks supply
QUALIFICATIONS:
  • Must be knowledgeable and adept with Microsoft Outlook, Word, Excel, Publisher (InDesign experience is a plus), and Photoshop
  • Must have administrative background and be able to demonstrate organizational skills and the ability to prioritize
  • Demonstrates effective oral and written communication skills
  • Must be able to independently answer and place telephone calls
  • Must have excellent customer service skills
  • Must be able to handle multiple tasks concurrently
  • Public charisma and ability to develop positive relationships

  • Must have use of transportation and possess valid California driver’s license and state mandated vehicle insurance in order to pick up supplies and to drive to events.
HOURS:
The work schedule will be primarily Monday through Friday from 8:00 – 5:00pm. Work week will often need to be adjusted to a Tuesday through Saturday schedule to accommodate the annual community events calendar. This position will include weekend special events as needed which will be scheduled minimum of one month in advance. Working on 4th of July is mandatory. Attendance at occasional evening meetings may be required. Overtime will occur from time-to-time based on business needs.

EDUCATION and/or EXPERIENCE:
  • High School Graduate; two (2) year or four (4) year college degree preferable
  • Minimum of two-years (2) administrative assistance experience, preferably in the public or private sector in the non-profit, recreation or community management fields
  • Proficient computer skills are essential for the success of this position
  • Training will be required in the following areas: Merit Connect, Facility Reservation System, community website, and InDesign software
