The Admissions Coordinator implements, facilitates, and provides comprehensive customer service support functions critical to VSB’s Graduate Business Programs Office.
The incumbent provides effective customer service from initial inquiry through enrollment for all prospective students and applicants to the Graduate Business Programs. This role is responsible for the tracking and management of all prospective student credentials and applications from the start of the application process through to the completion of the file.
The incumbent provides administrative support to team members within the Graduate & Executive Programs Offices, as well as supervises student workers and acts as the first point of contact for inbound calls and office visitors. The Admissions Coordinator helps prospective students connect with VSB application processes, and ensures applicants are aware of missing credentials and information.
The Admissions Coordinator supports activities directly related to the recruitment and admission of graduate business students, including the process of preparing and sending decision letters and other information prior to matriculation. He/She counsels candidates about program features and interviews applicants. The Admissions Coordinator represents VSB and the Graduate Business Program Office at recruiting events and builds relationships to impact and increase the admissions pipeline.
Duties and Responsibilities:
Coordinates admissions processes to ensure a seamless applicant experience. Downloads and exports files from ApplyYourself to Banner; creates files for applicants, maintains and records all materials as they come into the office – transcripts, letters of recommendation, score reports, etc; updates student status in Banner, along with any updated information, such as new GMAT score, program info; contact applicants with materials needed, deadlines approaching, upcoming events; arranges interviews with applicants as needed; enters prospect data into Hobson’s and sends decision letters and other information to incoming students prior to matriculation.
Engages candidates for all Graduate Business Programs: assesses qualifications, counsels candidates about respective program features, interviews candidates and recommends admissions decisions to Manager, Recruiting.
Leverages technology to effectively manage inquiry, admissions, and enrollment pipelines. This includes generating web updates, event registration, and proficiency with CRM , application, and event platforms.
Supports recruitment team with preparation for marketing events (open houses or information sessions). This includes preparing mailing lists and mailings, assisting at events including presenting program and admissions information, speaking with attendees and prospects, and ordering promotional materials.
Bachelor’s degree is required.
The individual selected must communicate professionally and efficiently within a fast-paced environment. The individual must be proficient in all standard computer applications, including Microsoft office products, particularly Microsoft Word, Excel. General knowledge of office principles and procedures is required.
The candidate must have 1-3 years of client-facing service or administrative support, preferably in an academic environment.
The candidate selected must have excellent written and verbal communication, organizational skills along with a friendly, upbeat and highly professional demeanor. He/she must be a team player with a proven ability to maintain the highest level of confidentiality, and attention to detail. The individual must have the ability to handle a fast-paced environment and to manage multiple projects/tasks with varied deadlines. The candidate selected must be poised with strong customer-service skills and be able to work independently under general supervision. The candidate should feel comfortable speaking and presenting in front of an audience.

Experience operating and troubleshooting standard office equipment.
Knowledge of Banner, Salesforce.com, and ApplyYourself/Hobsons/Intelliworks preferred.
Physical Requirements and/or Unusual Work Hours:
Regional and some national travel required. Occasional evening and weekend work required to serve the needs of prospective students.
