The Salvation Army, an internationally recognized, faith based, nonprofit organization, seeks an Administrative Coordinator for the DFW Metroplex Command located in Dallas, Texas.

The Administrative Coordinator provides administrative assistance and project management to Program Services Department; assists in the coordination of events and meetings. Conducts and facilitates advanced, complex, secretarial work with a broad scope of responsibilities. Researches and prepares reports, spreadsheets and analysis of information. Performs responsibilities with extraordinary attention to detail and ensures accuracy and quality of all work; provides primary support for Office Manager, in addition to providing assistance to other departmental areas as needed; responds to inquiries regarding departmental operations and ensures the office runs smoothly while the Office Manager is absent.
Supports all aspects of Advisory Board Subcommittee activities for department working in conjunction with Office Manager; coordinates all required pre & prep meetings according to established protocol which includes but not limited to contacting board members, scheduling meeting space, attendance follow-up, preparing meeting materials, and obtaining meeting minutes for dissemination; creates and maintains board member availability calendar for department. Connects with appropriate department managers, Corps Officers and front line staff on community happenings and the need for Corps representation at meetings; supports the investigation and initiates potential collaborations with community agencies, collects and disseminates newsletters, programmatic announcements, and coalition meeting invitations. Provides assistance and support for other departments and/or divisions seeking information or services from the Program Services team; responds to questions, researches and provides specific and general information based on the knowledge of the department operations; ensures the accuracy, completeness and timeliness to all information provided; maintains the confidential nature of the position. Reviews and edits documents for grammatical errors and formats according to The Salvation Army’s established standards. Effectively plans for work loads, deadlines and ensures compliance with policies and procedures. Maintains Programs Services central filing system working with department managers. Prepares duplicate copies of grants & contracts according the Program Services review standards for DHQ/THQ processing. Answers telephone in a courteous and tactful manner; provide departmental phone coverage for DFWMC. Schedules appointments, greets and assists internally and externally; provides accurate and complete information regarding office operations and/or services; attempts to resolve complaints in a calm, courteous and tactful manner. Coordinates, as needed, ordering of office supplies, and helps ensure supply inventory for assigned areas are maintained at a level to anticipate needs of the department; helps prepare check requests, purchase requisitions and documentation necessary to order equipment and any other special items required for office operations. Maintains open communication with DFWMC and departmental staff; ensures the department heads are informed of problems, special situations, and developments within the office. Supports the provisions of recommendations to department directors; helps to improve/simplify/stream-line methods and procedures; informs others of new and existing procedures. Supports departmental, DHQ/THQ’s grants & contracts processes, standards and guidelines to include internal/external tracking, follow up; maintains awareness of changes in The Salvation Army standards/processes; provides training to department on revisions to processes or standards as needed. Assists the Office Manager

Required Experience:
One year experience working in a general office environment serving in an administrative capacity; OR any equivalent combination of education, training and experience which provides the required knowledge, skills, and abilities.

Required Education:
Associates degree from an accredited college or university, or two years from an accredited college or university.

LICENSES AND CERTIFICATIONS:
Valid State Driver’s License
Microsoft Office Certification (Preferred)
