The Advanced Administrative Assistant position is based in Marathon’s San Antonio office and reports directly to the Asset Manager. This position is committed to providing excellent service to the team’s management and serves as the coordinator for office and administrative related needs, including coordination with other office support personnel. The position requires a strong customer focus, a high degree of self direction & motivation, excellent verbal/written communication skills, organization and prioritization know how, computer proficiency, and the ability to work in a dynamic, team-oriented environment.
Supervise and manage the responsibilities of the front desk position and provide support to fellow Administrative Assistants.
Act as Records Management Coordinator to maintain Records Retention and enforce records management requirements.
Coordinate travel arrangements for the Asset Manager and others in addition to organizing meetings conducted by Marathon executives. Manage meeting logistics: invitations, room reservations, arrange refreshments.
Organize and coordinate business social events including leadership offsite dinners and team events.
Interact with both office and field personnel and schedule training for employees.
Compile documents for the Asset Manager’s review and signature.
Utilize Microsoft Office products to develop professional and accurate presentations and reports.
Compose and distribute weekly and monthly reports to the asset team.
Handle sensitive and confidential material with the utmost professionalism.
Held accountable to process the Asset Manager’s business expense reports in a timely manner.
Work toward continuous improvement of processes by finding efficiencies, making process suggestions, and eliminating the opportunity for error.
Perform routine office duties which include composition of correspondence, mail, telephone coverage, ordering office supplies, copying and filing.
Support the Fleet Coordinator with reconciling vehicle use and maintenance issues.
Education: High School Diploma or equivalent
Experience: Two or more years in the administrative field
Computer Skills: Strong proficiency with Microsoft Office products
General Knowledge: Ability to consider safety in all decisions
Knowledge of the Oil and Gas industry is preferred
