The Advertising Project Coordinator is responsible for coordinating the marketing services team’s efforts and providing needed analysis to enhance and protect Wawa’s brand image, while increasing product trial, brand awareness and profitability.

Principal Duties :

Project & Process Coordination

  • Support the Marketing services team and cross functional groups to efficiently and effectively guide projects through the design and production process, on time and within budget. Develop project scope, requirements, budgets, and timelines
  • Establish realistic deadlines, analyze, and prioritize project activities and tasks
  • Develop and maintain project plans and other relevant project documentation
  • Remain aware of potential areas of concern, mitigate risk, and achieve consensus among collaborators
  • Prepare and analyze project status reports, disseminate relevant information to the appropriate teammates
  • Local Marketing

  • Manage the execution of Wawa’s Minor League Baseball sponsorships. Track ticket and coupon redemption. Assist the advertising team with advertising signage roll outs and on-field game implementation.
  • Support the development and execution of field initiatives including amusement park partnerships, local advertising programs and grand opening/competitive defense.
  • Work with Store Operations and Finance to assess and optimize programs.
  • Inventory & Asset Management

  • Manage the relationship with our 3rd party fulfillment center; ensuring all Operations, Fuel, Safety and Marketing signage and hardware remains in-stock and current.
  • Manage and maintain a cloud based library of digital assets shared among internal & external vendor partners
  • Recommend and execute cost reduction initiatives and process improvements.
  • Reporting & Analysis

  • Manage budgetary elements; reviewing and entering all expenses through SAP.
  • Assists Advertising Production Manager in preparing budget reports and analysis, including the preparation of monthly, quarterly and annual reports.
  • Provide financial analysis and account reconciliations for all advertising billings & expenses.
  • Reviews key account reconciliations including vendor reimbursements and 3rd party receipts.
  • Utilize SAP & BW reports to analyze sales trends, identify insights and marketing effectiveness to gauge program success.
  • Resolves customer service issues and Applix calls for internal and external customers
  • Special Events and Activities

  • Acts as a resource for cross-functional teams and projects as a needed
  • Lead and participates in the development/execution of advertising and brand building events and activities
