Administrative Assistant/Receptionist

Reports to: President with work direction provided by the Sales and Marketing Coordinator

Minimum Qualifications:
  • Four years of Receptionist/Administrative support experience taking on progressively more responsibilities
  • Two year business related degree
  • Must be able to multi-task and be able to work in a busy work environment dealing with interruptions on a daily basis
  • Above average oral and written communications with attention to detail
  • Experience in writing press releases and content for website a plus
  • Ability to do Web research on specs and market pushes of competitors
  • Exercise considerable independent judgment and discretion
  • Effective problem solving skills
  • Excellent time management and organizational skills
  • Good working knowledge of a variety of office machines including multi-line phone system, copiers, postage machines and fax machine
  • Ability to accurately type a minimum of 60 words per minute
  • Proficiency using MS Office required
o Excel and PowerPoint a must
  • Flexible in accepting assignments of various support tasks in a frequently changing work environment managing multiple priorities while meeting multiple deadlines
  • Strong verbal and written skills a must in a very diverse environment – knowledge of the Japanese language a plus but not a must
  • Experience with coordinating and traveling for tradeshows along with providing booth support a plus
  • Perform front desk duties, including answering and routing all incoming phone calls, as well as greeting and directing visitors
  • Update electronic welcome board as needed
  • Mail duties including opening and distributing incoming mail, collect and prepare outgoing mail such as U.S. mail, Federal Express packages and courier packages (as needed)
  • Order and maintain accurate inventory of office supplies
  • Arrange meals for various in-house training events and meetings
  • Make travel arrangements for employees and possibly for incoming customers/dealers
  • Book hotel rooms and coordinate shuttle services for visiting customers and dealers for training events
  • Coordinate on-site and off-site events for incoming customers/dealers
  • Domestic travel to tradeshow events – possible international travel – ability to obtain a passport
  • Call backs to customers interested in Matsuura machines after tradeshow events
  • Support regional field sales staff with quotes and product information mailings
