Job Description
This position performs full administrative and general office duties within the Applied Physics Group located in 2400 STV building, as well as EDL, NSB, and PSL and will work directly with the lead administrator and a specific Team Lead.

Performance of duties will require:
the ability to prioritize and complete work independently, effective verbal and written communications, ability to organize and plan visits to the laboratory by external/internal staff and clients, and the ability to identify potential administrative areas for continuous improvement and recommend solutions.

Principal Accountabilities:

Ability to work independently and prioritize heavy workloads.

This includes ordering laboratory and project supplies, assisting in coordinating appointments/visits for staff members, composing agendas, and all aspects of general office duties.

Support through personal involvement the effective management of those systems unique to a laboratory-intensive group.

Examples include equipment purchasing, chemical ordering, assisting staff with submitting publications, safety and security incident management hazard management and identification systems, etc.

Facilitation and preparation of domestic and foreign travel including expense reports and clearance transfers.

Compose, proofread and process routine correspondence, reports, documents, and forms.

Demonstrate personal accountability for commitments/action items, prioritization of duties, security and related operational requirements.

Proficient knowledge and skill in Microsoft programs.
Minimum Requirements
High school education and 3 or more years of progressively responsible administrative experience, or an equivalent combination of relevant training and experience required. Must be able to: demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items. Must understand office support functions and possess the ability to effectively apply procedures; work with minimal supervision; use discretion and good judgment about processing/disclosing sensitive or confidential information; direct workflow of others as appropriate. Must be able to identify potential administrative problems/areas for continuous improvement and work with others to develop solutions. Communicates and serves as an information resource on policies, guidelines, and procedures. Strong communication skills required.

Minimum requirements include high school education and 3 or more years of progressively responsible secretarial/administrative experience, or an equivalent combination of education and experience.

The incumbent will serve as a resource to the group for information regarding organizational administrative procedures. Must have advanced knowledge of PNNL and DOE policies and procedures; organization structure; business areas; business/report formats and methods of preparation; various client formats for reports and documents; standard office practices. Must also possess strong grammar, composition, punctuation, spelling and vocabulary skills; must be able to effectively operate PC computer systems, electronic mail, networks and software including Word, Excel, PowerPoint, and Outlook; and be familiar with the use of standard office equipment including photocopying equipment, domestic and international use of facsimile machines, etc.

Must possess the ability to prepare, proof, and edit reports and routine correspondence; communicate effectively both orally and in writing; establish cooperative working relationships; maintain confidentiality regarding sensitive issues; organize work flow and handle multiple priorities; operate word processing/computer equipment utilizing state-of-the art office management software; and learn to use new software.

The incumbent will require a Q-clearance, and must have or be willing to acquire and maintain proficiency in the handling of classified information and documents.

The incumbent will eventually be expected to serve as a resource to staff for the preparation of classified reports, presentations, and other documents.

This position requires the ability to obtain a federal security clearance in a timely manner.

  • Background Investigation: Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.
  • Drug Testing:
All Security Clearance (L or Q) positions will be considered by the Department of Energy to be Testing Designated Positions which means that they are subject to applicant, random, and for cause drug testing.

In addition, applicants must be able to demonstrate non-use of illegal drugs for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).
Note: Applicants will be considered ineligible for security clearance processing by the U.S. Department of Energy until non-use of illegal drugs for 12 consecutive months can be demonstrated
