Primary Purpose:
This job exists to serve as a processor of incoming and outgoing Pershing, ACAT, Non-ACAT, Direct Rollovers, DRS, CIT and Mutual Fund transfers for TFA, processing Rep/Dealer changes

and Termed Reps. The primary objective should be same-day processing, accurate and thorough follow up on the above functions, to prevent back-logs, ensure minimal delays/risk/losses to TFA, and ensure Reps are apprised immediately.

Primary Responsibilities:
Process Incoming Pershing ACAT Transfer Forms –

Completes timely, accurate, same day processing of Pershing ACAT transfer forms.

Obtains missing documentation or clarification on questionable documents from Registered Representatives.

Enters ACAT, CIT, DRS, Non-ACAT, Direct Rollover and Mutual Fund transfer requests into Pershing's NetEx360.

Faxes or mails respective transfers to Pershing same day as entering.

Daily AWD follow up to ensure all original transfer paperwork is received from New Business.

Completes timely follow up and daily monitoring of each transfer process using AWD and Pershing system to ensure quick resolution and/or completion.

Provides immediate updates to reps and/or their assistant on open/pending inquiries.

Prevents and/or resolves any problems/delays that occur during any transfer process.

Maintains frequent contact with the Clearing Company to expedite the ACATS process.

Maintains thorough knowledge of Pershing’s NetEx360 system as well as current ACAT rules and procedures, which interface with contra-broker/dealers and mutual fund companies.

Maintains thorough knowledge of all registration types and required documents.

Identifies proprietary funds that can not be held in brokerage accounts.

Identifies B Share Mutual Funds, and complies with guidelines of B Shares pertaining to Managed Accounts.

Completes accurate and detailed notes in AWD.

Process Outgoing Transfer forms –

Completes timely, accurate, same day processing and daily follow up of outgoing transfers.

Identifies those that require liquidation and forward to trading.

Provides daily follow up on all transfers to ensure transfers are processed in a timely manner.

Provides daily updates to Reps and/or their assistant on open/pending inquiries.

Notifies Rep immediately if transfer is rejected for any reason.

Completes accurate and detailed notes in AWD.

Process Rep Changes –

Completes accurate, same day processing of Rep changes.

Ensures all required information (registration, signatures, Rep/branch numbers, and compliance forms) is received prior to mailing or faxing to vendor.

Notifies Rep within 24 to 48 hours (from receipt of request) for any form deficiency or other request.

Follows up to ensure change completion via Albridge, Vision, Birt, Advisor Central or calling vendor.

Completes accurate and detailed notes in AWD.

Termed Reps –

Completes timely, accurate processing of termed Reps.

Completes immediate change of Rep for Pershing accounts on Caesar and PONA to the OSJ.

Completes immediate change of Rep for split business, removing terminated Rep on those accounts.

Contacts OSJ to find out who the direct business accounts should be reassigned to.

Follows up on letters to ensure they are completed.

Completes accurate and detailed notes in AWD.

Maintains QC productivity and accuracy standards established by Management.

Assists with training of new employees.

Assigned workload is the primary responsibility of the each transfer employee and all measures should be taken to prevent back-log, including overtime when necessary.

Upon completion of process queue assists other co-workers as needed.

Other duties as assigned.

Occasional overtime may be required.

Required Qualifications:
Excellent interpersonal, written and verbal communication, telephone and customer service skills.

Excellent analytical skills.

Strong attention to detail.

Ability to prioritize multiple responsibilities.

Basic math skills.

MicroSoft Office Applications (Word, Excel, Outlook).

Above average typing and 10 key skills.

Preferred Qualifications:
Previous Broker Dealer or financial services industry work experience.

Two year college degree or equivalent work experience.

Thorough knowledge of Regulatory (FINRA) and ISI policies and procedures, as they relate to ACATS and other performed processes.

Thorough knowledge of current ACAT and Non-ACAT procedures.

Knowledge of AWD (imaging system), Pershing, CAESAR, BIRT, Albridge, VISION, Advisor Central.

Familiarity with TFA's website, including, but not limited to: On-line forms, Operations and Compliance Bulletins

FLSA Status: Non-Exempt

Transamerica’s pay ranges are competitive and are based on the external labor market. An annual bonus opportunity may be available to regular employees.
