Provides a broad and varying range of administrative support of a confidential nature to leaders; typically director-level and above. Duties include; Arrange for meetings, conferences and appointments etc., frequently requiring constructive negotiating and coordinating in order to eliminate schedule conflicts; Type letters, presentations, reports, memos, minutes etc., including independent composition; Prepare minutes, policies, procedures and guidelines for submission to Intranet; and Screen visitors, patients, personnel and telephone calls, resolving independently as many requests/ issues as possible. Unresolved and significant requests/ issues will then be brought to the attention of the Senior Administrative Assistant or department leader. Highly motivated individual with strong verbal communication, interpersonal and relationship building skills, plus extensive knowledge of general office practices and procedures including: accurate and efficient typing skills, spelling, grammar, organization, editing, punctuation, personal computer applications, calendar management, spreadsheet, webpage, databases, correspondence and telephone etiquette skills. This position also requires the ability to professionally handle and maintain materials of a strictly confidential nature. Medical terminology may be preferred in patient care areas. High School Diploma or equivalent required. Post-secondary education in an office administration/administrative assistant program preferred. At least one to three years of related experience, and advanced office administration experience preferred.

Additional Information

Specific job duties (in addition to above): Provide administrative support to the TRIA Director of Clinic and Ancillary Services, the TRIA Clinic Medical Director and be a key contributor to clinic projects. Will work collaboratively with all levels of the organization - physicians, leaders and TRIA Team Members in multiple functions.; will work as part of a leadership team and will work independently. Environment is fast-paced and very dynamic. Specific skills required: attention to detail, efficiency, exceptional organization and priority-setting skills; great written and verbal communication skills. Will coordinate projects so must have familiarity with templates, forms and processes. Technical requirements: requires a high degree of experience and expertise with MS Word, Excel, PowerPoint and Access to create and make spreadsheets, presentations, graphs, enter data and interpret the data to help set priorities.
