The Assistant, Human Assets is responsible for managing all operations to support Human Assets processes, systems, and reporting. In addition, this role provides front line employee relations related to employee policies and staff transitions. The Assistant, Human Assets will report directly to the Director, Human Assets. This role will be based in the Bay Area Office.

Primary Responsibilities

Human Assets Operations

  • Coordinate all aspects of Human Assets on-boarding of new staff:
-- Manage internal hiring needs: assist in the preparation of job descriptions, coordinate postings to assure highest traction distribution networks, and perform reference checks

-- Coordinate new hire offer process for all new hires including preparing and distributing offer letters and all other relevant on-boarding material (payroll and benefits paperwork, employee policies, etc.). Serve as liaison to new hires for any questions they have about employee policies and Human Assets related items as they consider their offer and enter the organization

-- Train hiring managers on on-boarding and orientation process to prepare them for manager customization of new hire orientation and on-boarding, facilitate relevant communications to HA Team to ensure regular introductory period check-ins are set up between Human Assets staff and hiring managers and new hires

-- Implement all HA on-boarding and orientation tasks for new hires

-- Provide hiring managers with relevant introductory period tools

-- Coordinate timely completion of harassment and discrimination trainings

Systems & Technology

  • Manage employee database, files, and workflows; to keep track of all Human Assets related documents, information, and employee histories in a timely, accurate and confidential manner.
  • Implement assigned aspects of staff transition processes for all staff transitions (departures, promotions, internal transfers, etc.)
  • Create and manage data to inform departmental metrics and performance measurement
  • Ensure Human Assets pages on Walter are up to date and contain relevant information for staff
  • Provide necessary Human Assets related metrics for organizational needs at large
  • Work with Finance and Operations team to ensure employee manager and hiring systems meet organization-wide technology requirements
  • Manage online hiring system to ensure functionality supports the hiring of staff in an optimal manner
  • Manage all Human Assets mailbox correspondence to ensure timely responses to internal and external inquiries
Talent Management

  • Answer employee questions related to Education Pioneers employee policies and Human Assets practices
  • Manage reporting, workflows, and troubleshooting questions for SuccessFactors (talent management system)
  • Lead the day-to-day administration of Human Assets processes, programs and systems
  • Assist with the logistics and implementation of internal staff compliance trainings and professional development activities
Special Projects

  • Summer Internship Program - Assist with the implementation of the summer internship program by finalizing job descriptions, coordinating postings, maintaining relationships with relevant partner organizations and career service centers, helping to coordinate research for PD opportunities and communicating relevant information to the Human Assets Team
  • All Staff Retreat – Assist with the planning of EP’s annual All-Staff Retreat including coordinating logistics and drafting internal communications
  • Lead the development and management of the Human Assets Org-Wide & Diversity Program calendars
Experience and Qualifications

  • Bachelor’s degree required
  • At least 1 - 3 years of professional work experience in human resource related field
  • Superior oral and written communication skills
  • Exceptional planning, organization, and prioritization skills
  • Strong attention to detail, accuracy, and timeliness
  • Ability to work in and across several communication platforms and CRM systems; experience with Salesforce preferred
