Assitant, Logistics and Event Planning

Location : Boston, MA

Position Overview :

Education Pioneers seeks a highly-motivated, efficient, and detail-oriented Assistant, Operations to join our national Recruitment, Admissions, and Placement (RAP) team. The Assistant will play a critical role in planning events, coordinating logistics, and supporting staff across the organization to recruit and select more than 500 talented leaders to complete mission-critical projects for leading education reform organizations.

The Assistant is a support role that spans multiple workstreams within the RAP team. This is an ideal opportunity for a quick learner who is eager to take on new projects and tackle new challenges within a high-performing, rapidly-growing organization. To be successful, the Assistant must be able to organize, prioritize, and track multiple projects and tasks.

Responsibilities include but are not limited to :

Event Planning:
  • Manage logistics for recruiting presentations and events

  • Develop event budgets

  • Work with associates to execute receptions, including booking venues, organizing food, and ensuring marketing collateral and materials are present on site

  • Coordinate with national and regional staff to execute logistics for on-campus presentations and fairs, including confirming location, responding to AV needs and food requirements, and shipping marketing collateral

  • Track data on event attendance and link to applications

Recruiting Support:
  • Manage logistics for Group Interview Day events

  • Confirm venue and catering needs

  • Ensure AV and material needs are in place for events

  • Manage recruiting inboxes and phone lines to provide candidates with timely, high-quality responses to questions and requests

  • Draft communications to provide candidates with logistical information and updates as they advance through the admissions process

  • Support coordination with alumni interviewers and execution of in-depth interviews

  • Assist with scheduling related to recruiting presentations/events

  • Support logistics for web-based recruiting outreach activities

  • Perform critical support activities to balance workload during peaks in the recruiting and admissions cycle

  • Assist with analytical tasks including survey response analysis and dashboard updating

Administrative Support (approximately 10% of role)
  • Manage calendars for VP of National Programs and Director of Talent Strategy and Placement

  • Schedule and manage logistics for team meetings and retreats

  • Manage the Boston office

Key Qualifications :
  • 1-2 years Previous professional experience

  • Demonstrated experience of setting and consistently meeting project milestones and deadlines

  • Strong organizational skills and attention to detail with understanding of project management principles and processes

  • Experience working with data and completing analytical tasks
