Duties And Responsibilities

& Minimum Requirements:
The Assistant Director for Academic Administration is a key member of the Associate Dean of Academic Affair’s staff, and will be responsible for all financial and administrative matters for all faculty, AAP, and staff, including the department heads of the units within the Academic Affairs sector--the BSFS Office, the Faculty Suite, and Academic Services.

Responsibilities:
Assist Associate Dean in shaping the strategic plan for Academic Affairs, especially in terms of integrating new faculty hires into the curriculum and identifying support for efforts to expand SFS-Q’s curriculum. In conjunction with the Associate Dean, assist in budget development for Academic Affairs and the units.

Assist the Associate Dean by serving as senior manager for day-to-day operations of the department (finance, administration, personnel, etc.).

On behalf of the Associate Dean, liaise with other SFS-Qatar and Georgetown University main campus units including: representing the department at various committees and standing meetings including: operations group, communications group, etc. The Associate Director regularly participates in the meeting of the unit heads and represents the Associate Dean in campus-wide meetings.

Monitor budgets to report spending variances, assist with financial projections, and develop FY plans.

Serve as primary manager for all Academic & Faculty Affairs review cost centers and assist each unit with monthly cost center reconciliations and variance reporting by analysing and researching transactions. Serve as cost center manager to units when needed.

Serve as designate for Academic Affairs for all routine financial and administrative processes. Prepare where necessary and otherwise review the paperwork for and hold signatory authority, up to the allowable limits, for vendor contracts, purchase requisitions, invoices, and employee reimbursements.

Assess administrative and financial problems that may arise affecting the units within Academic Affairs, and investigate alternatives, devise and implement solutions.

In coordination with other departments, assist in the on-boarding of faculty, staff, and AAPs for all units within Academic Affairs.

In coordination with other departments, and as appropriate, assist in the recruitment of staff and AAPs for all units within Academic Affairs.

Manage coordinator and two administrative assistants, and student workers, including setting and reviewing performance objectives, and identifying training and development needs.

In collaboration with the relevant units within SFS-Q, assist with the planning and management of events within Academic Affairs, which may include conferences, lectures, convocation, graduation, etc.

Provide a secondary platform to ensure that the administrative needs of each unit within Academic Affairs are communicated to SFS-Q senior management.

Ensure that the needs and concerns of the faculty (especially in terms of conference travel, support for research and professional development) are communicated to the Associate Dean.

Other appropriate duties as assigned.

Requirements:
Knowledge of SFS-Qatar and GU policies and procedures;

Knowledge of accounting and auditing procedures, processes, and techniques;

Bachelor’s degree required, MA strongly preferred;

4 to 6 years experience in planning, organizing, and managing operations of a large department, preferably in higher education, including budget and financial management, with a least 2 to 3 years supervisory experience;

2 to 3 years experience with planning and executing major events, such as conferences, lectures, and ceremonies;

Proficiency with MS Office, Quickbooks, university financial and administrative tools.
