Aids executive by independently handling wide variety of situations involving administrative functions of office to support and enhance efficient, effective use of executive time.
Manages and performs administrative functions based on anticipation of executive needs, understanding of company policy and practices, reflecting executive views and philosophy, and ensuring smooth operation.
Handles information and materials in manner maintaining confidentiality.
Contacts or responds to internal and external staff/senior/executive/BOD level individuals, ensuring positive impression of executive and company is maintained.
Interprets requests/situations, assists with implementing action/response, and decides whether executive should be notified of important/emergency matters.
Receives and screens visitors and phone calls, determining nature of business and directing individual to appropriate department/employee.
Relays requests for action/information to staff members in executive absence, following up as necessary.
Reads and routes incoming mail and emails, determining appropriate recipient.
Locates, provides, and may summarize related information to correspondence or activities that require executive attention. Highlights/emphasizes important, conflicting, or contradictory material.
Anticipates, obtains, and prepares materials needed by executive for conferences, correspondence, appointments, meetings, phone calls, etc.
Composes, proofs, and distributes correspondence; may sign on behalf of executive.
Establishes and maintains files to ensure immediate access to most current, complete, accurate information.
Obtains and compiles data (which may be narrative, financial, budgetary, operational, statistical), identifying appropriate and relevant sources and presenting results/summaries in logical, understandable manner.
Maintains executive calendar, establishing scheduling priorities. Schedules regular and special meetings, arranges use of conference rooms, equipment, and refreshments, prepares agendas, and obtains, compiles, and distributes materials. Attends meetings, records and distributes minutes, notes commitments made by executive or attendees, and arranges implementation or follows up as requested. May serve as representative for executive.
Arranges and coordinates travel arrangements and processes expense reports.
Leads/participates in special projects, collaborating with wide assortment of departments and staff.
Performs other duties as assigned.
SKILLS, KNOWLEDGE, & ABILITIES:
Thorough knowledge of:
Administrative practices and procedures
Proper use of language, grammar, punctuation, spelling
Email, presentation, word processing, and spreadsheet software (preferably Microsoft Office)
Excellent skills in:
Written and oral communication
Fostering and maintaining interpersonal relationships with individuals at various organizational levels from staff through BOD

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Typical office environment with extensive use of office equipment, including PC, fax, copier, phone
EXPERIENCE AND EDUCATION:
A minimum of 3 years of experience as an Executive Assistant supporting a Vice President or Sr. Officer position is required.
Experience supporting 2-3 executives at the same time is required.
Proficient with data set up and formatting, formulas and functions, and creating pivot tables and sorting schemes in Microsoft Excel is required.
Experience using of Microsoft PowerPoint to create complex executive level presentations is required.
A minimum of 3 years of experience managing multiple calendars in Microsoft Outlook is required.
A minimum of 1 year of experience working with financial data is required.
Associate Degree in business or secretarial science or equivalent combination of applicable education and experience.
A minimum of 1-3 years previous telecom industry experience is preferred.
Working experience with flowchart applications such as Visio is preferred.
