Work with the Assistant Director and Operations team on a range of assignments related to the day-to-day coordination, administration and responsibilities of the Gift Processing and Operations team within the Global Resources (GR) division. Duties will include providing administrative and task-based support to all aspects of gift processing and general office operations.

Principal Responsibilities
' Receive, sort, date/time stamp all incoming mail; distribute mail to GR staff and make necessary copies and scans in accordance with the WCS gift processing procedures.
' Make copies and scans of gift processing, revenue reconciliation and audit documentation as needed.
' Assist Gift Processor with data entry into Raiser's Edge, such as adding donor records, updating contact information, merging duplicate records, adding gift information. gift entry and record maintenance.
' Routinely prepare and send formal acknowledgement letters for gifts under $1,500; help prepare other mailings as needed.
' Provide customer service to all general incoming phone calls and email inquiries ' responding to directly, or forwarding to other staff as appropriate.
' Distribute and pick-up office mail and other divisional documents/papers from other administrative locations.
' Track the office supply inventory and maintain the supply closets to ensure they are well stocked and well organized.
' Help maintain department-wide calendars in Microsoft Outlook and bulletin boards.
' Place service calls and respond to GR staff requests for assistance with copy machines, supplies, office maintenance, etc.
' Support the Coordinator in the effort to oversee and maintain the cart fleet, used for VIP/donor visits, including taking carts to the on-site garage for weekly maintenance.
' Support the Operations staff and the Executive Director of Institutional Advancement with various administrative requests which may include making copies, compiling and organizing files, making requests of other departments, transporting materials/items to other departments, among others.
' Assist with special projects as assigned.

Qualifications Requirements B.A / B.S. with 1-2 years of development office administration or related experience. Excellent organizational, interpersonal and teamwork skills; great attention to detail; strong proficiency with Raiser's Edge and Microsoft Office suite. Cooperative attitude and excellent phone skills, including a pleasant phone manner necessary for interacting with a broad range of contacts, including donors. Driver's license preferred. Demonstrated ability to function as integral part of a professional team.
