The Assistant Property Manager works with the Property Manager/Senior Property Manager to assist with managing all aspects of the portfolio and to ensure that the properties are covered efficiently and professionally. The team is responsible for the Indiana portfolio of properties currently totaling 1,505,966 rsf of Office and Industrial properties. This position will function as a generalist, working in the areas of operations, leasing and financial reporting.

Responsibilities

Building Operations

Assist Property Manager and the Lead Engineer in all facets of building operations including life safety issues, incident reports, and insurance claims.
Maintain vendor contracts and assist in preparing bid packages.
Assist in managing the work order system.
Contact vendors to schedule work in the building and in tenant spaces.
Supervise the tenant relations program, working with the Administrative Assistant and the third party vendors.
Coordinate the building/tenant construction.
Perform cleaning inspections as necessary.

Leasing

Prepare move-ins/move-outs as required.
Maintain stacking charts as necessary.

Management Office

Provide back-up for answering property management calls, as necessary.
Assist in facilitating meetings.
Assist in maintaining insurance certificate files for tenants and contractors. Update Insurance Certificate Report (Excel Spreadsheet) on a monthly basis and ensure all certificates are up to date and in compliance with lease/contract requirements.
Maintain familiarity and oversight of access control system.
Update the building’s emergency procedures manual (emergency contact information) on an annual basis.
Develop and maintain recycling program as per County regulation. Report annual results to County as required.

Financial Reporting

Review of rent roll.
Assist in preparing annual budgets for assigned properties.
Complete monthly job cost reports for accounting group.
Code and enter invoices for all building expenses into Yardi as needed.
Prepare Job Cost Requests to be submitted to Asset Management.
Prepare Monthly Asset Report.
Assist the PM/SPM with variance reports.
Facilitate collections effort in conjunction with PM.

Communication

Maintain daily communication with the Property Manager, the Lead Engineer, Regional Accountant, and Administrative Assistant.
Interface as needed with the Regional VP, Property Manager, Regional Accounting Staff, Corporate Accounting, Asset Management, and Lease Administration.
Interface as necessary with tenants, brokers, vendors, and visitors.

Requirements

Bachelor’s degree - Minimum 3.0 GPA.
Two to three years’ experience in a real estate related industry.
RPA designation a plus.
Ability to work in a fast-paced, collaborative, and results driven environment.
Proficiency with property management/accounting software (Yardi preferred), Idysys budgeting software; MS Office application (Word, Excel, PowerPoint, Outlook).
Exceptional verbal, written, and organizational skills.
An assessment will be administered for computer and communication skills.
