The Assistant Registrar reports to the Registrar. The Assistant Registrar is responsible for ensuring quality control for accuracy of computerized information for all academic and related data recorded in the Registrar's Office and assisting the Registrar with planning and implementation of relevant office responsibilities. The position of Assistant Registrar manages numerous student records that contain grade and course information related to the areas of the Registrar’s Office. The prime function of the Assistant Registrar in records-related matters is to ensure the proper collection, maintenance and communication of student academic records and performance data.The Assistant Registrar will assist the Registrar with attendance, grade processing, transcript maintenance, accurately inputting data into the PowerCampus system, graduation audits, and enrollment reporting, registration and transfer evaluations. Responsibilities will include monitoring registration and grading data for accuracy and taking corrective action when necessary, overseeing the processing of grades and enrollment rosters, coordinating with the Registrar and other assistant registrars on PowerCampus issues, creating standard and ad hoc reports, and recommending improvement in processes of the office.

Provide support with the daily operations of the Registrar's office, specifically student records

Consult with required personnel to devise registration schedules and procedures

Input and retrieve data from the PowerCampus system

Serve as a source of information on administrative, academic, and procedural matters to students, prospective students, faculty, and staff

Provide overall support to the Registrar by researching and resolving system problems, unexpected results or process flaws

Recommend solutions or alternate methods to meet requirements

Assist in the development of standard reports for ongoing department and customer use

Represent the Office of the Registrar through participation on various campus-wide committees related to student system

Ensure compliance with administrative policies and procedures

Assist students with the completion of forms

Review and verify forms for completeness and accuracy

Manage attendance procedures

Enter registrations and identify required pre-requisitions

Administer student name and address changes

Establish and maintain student files, ensuring all records are kept current and accurate

Monitor student records to ensure compliance to academic regulations and program requirements for graduation

Other duties as assigned

Bachelor’s Degree

Excellent organizational and administrative skills

Excellent analytical/problem-solving and customer service skills

Experience with computerized information system (preferably PowerCampus)

Familiarity with higher education organization and academic policies and FERPA

Ability to deal effectively with students, faculty, staff, senior administrators, parents, government agencies and other outside organizations
