This positions is responsible for assisting in the planning, coordinating and supervising the activities of the Town’s Special Events and Festivals Division
Essential Duties and Responsibilities:
Plans, coordinates, manages and evaluates special programs and events
Plans, schedules and assigns and supervises the work to division staff; hires, trains and evaluates the work of staff
Assists in researching and identifying potential event opportunities; provides information and responds to citizen, community and businesses concerns regarding Parks and Recreation events and activities Maintains a schedule of meetings for the director and clients
Assists in the preparation and maintenance of the division budget; prepares program reports and financial statements; reviews and approves requisitions, purchase orders, receipts of goods
Prepares reports, memorandums and letters
Procures supplies and equipment as needed; prepares specifications and seeks bids; may negotiate contract terms and condition with vendors with vendors.
Ensure all equipment and supplies meet safety standards; coordinate safety training for division staff; identifies safety hazards and takes corrective action; reviews monthly safety report
Assists in the marketing of special events and programs; develops promotional materials and packages for all programs and events.
Perform other duties as required Knowledge of:
Principles and practices of large scale events
Principals and practices of effective supervision
Contract negotiation and preparation
Community volunteer recruiting and development resources
Micro Office including Word, Excel, Publisher and PowerPoint
Principles and practices of basic budgeting
Applicable state and federal laws including OSHA and safety rules and regulations and the American With Disabilities Act (ADA)
Town policies and procedures
Basic first- aid techniques and CPR Ability to:
Interpret and apply laws, rules, regulations and policies appropriately
Plan and coordinate events
Plan and monitor the work of staff
Ability to operate audio visual equipment
Maintain accurate records and organized files
Communicate effective both orally and in writing.
Use office equipment such as a computer, calculator, copier, and facsimile machine
Develop and maintain effective working relationships with vendors, customers and employees
Prepare and compile clear and concise report
Minimum Qualifications An equivalent combination of education and experience that provides the required knowledge, skills and abilities to perform the duties of the job: Education
Bachelor's degree in Recreation and Parks Administration, Business Administration, Marketing or a closely related field Experience
Three years of experience in community and special event planning, scheduling and coordinating, marketing, promotions and supervision. Certifications, Licenses, Registrations
The possession of or the ability to obtain a valid North Carolina driver’s license.
Supervisory Responsibilities This position has direct supervision over the maintenance, clerical temporary and contract personnel. May be required to provide guidance and direction to technical and professional staff.
Physical Demands The work is typically performed while sitting, standing, walking, bending, crouching, or stooping. The employee may be required perform tasks that require pushing, pulling, sitting, kneeling, crouching, crawling, balancing, bending, twisting, exposure to mechanical or electrical hazard, inclement weather, outdoor cold and heat and loud noises. Must be able to lift This position requires work related travel throughout the Town Work Environment The work is performed either indoors or outdoors depending on the tasks performed.
