ARCADIS is seeking a full time Assistant for our Columbus, Ohio office to support project administration by working on projects for multiple mangers. The successful candidate must be interested in learning from and supporting other Project Assistants and project team members. Must be well organized and professional, able to interface/ communicate with internal team members on tasks and projects, able to meet multiple and simultaneous deadlines, and able to work independently. Must have strong computer skills including a high level of competence with Microsoft Excel, Outlook and Word. Prefer candidate with strong writing skills and MS Project experience. Position responsibilities include, but are not limited to:

  • Assist in the preparation, formatting and assembly of deliverables
  • Upload deliverables to client sites
  • Receive/track work orders & work authorizations
  • Assist with preparation of project set-ups
  • Assist with subcontractor management: invoicing requirements, timeliness of deliverables, etc.
  • Assist with staff and subcontractor scheduling
  • Track Subcontractor Agreements and current insurances
  • Provide invoicing assistance
  • Perform file management
  • Team site development and maintenance
  • Assist with expense reports and timesheet processing
  • Assist with office administration tasks, such as answering phones, ordering office supplies, copying/faxing/scanning
  • Manage reception area and answer switchboard on occasion
  • Various other administrative duties as assigned

Required Minimum Qualifications:
  • Minimum years of experience: 2 years
  • Education required: Associate's Degree in Business Administration or related field.
  • Skills required: Proficiency in use of MS Office Suite; experience in technical report preparation and at least 2 years of experience in an office setting.
Preferred Qualifications:
  • Years of experience preferred: 5 years
  • Education preferred: Bachelor's degree in Business Administration or related field.
  • This position does not require travel. Travel amount is none.
  • A valid driver's license and clean driving record is required for this position.
  • This position does not manage others.
