A. Coordinates staff activities, project logs, attendance records, calendar, document signing.
B. Responsible for the transcription, dissemination, filing and archiving of new and/or revised HR policies and procedures college-wide.
C. Provide administrative support to the Assistant Vice President of Human Resources and staff for highly sensitive and confidential matters.
D. Cultivate favorable relationships and work closely with Executive Assistants to Vice Presidents.
E. Oversee budget authorization forms ensuring appropriate documentation is attached and confirming available funds through the systems.
F. Prepare letters, reports, charts, forms and e-mail correspondence on behalf of the Assistant Vice President of Human Resources independently.
G. Independently upload documents to the HR website on a monthly basis.
H. Serve as back up to critical positions and functions within the College organization and agenda and exhibit preparation for Board Meetings.
I. Schedule appointments, screen telephone calls and visitors, and maintain calendar for Assistant Vice President of Human Resources.
J. Oversee Human Resources project slate: notifications of deadlines and deliverables, including planning and organizing the department workflow.
K. Administrator for the Web Content Management system for the HR.
L. Maintain accurate files and records.
M. Maintain appropriate competency in contemporary computer technology.

A. Associates Degree (or equivalent experience).
B. Five years’ secretarial or administrative experience with exemplary typing and dictation skills.
C. Communicate effectively in oral and/or written form and establish effective relationships with other members of the College staff, students, and the general public.
D. Proficient in Microsoft Office with a high degree of skill and accuracy, particularly Word and Excel.
E. Proficient at draft and editing complex documents and reports to include proofreading for grammar, punctuation, and spelling errors.
F. Understand sensitive nature of the work of the office and discharge duties with due care and judgment.
G. Proficient at research in labor laws, including interpretation and application of decisions.
H. Make recommendations for and assist in the formulation of procedures for the efficient operation of the office.
I. Two years’ Executive Assistant experience in understanding, analyzing and compiling data.
A. Baccalaureate Degree.
B. Certification from accredited Business School.

The Human Resources Executive Assistant is normally employed on a twelve-month basis, works Monday through Friday, on a 35 hours weekly work schedule. Compensation and benefits shall be in accordance with the Handbook for Non-Affiliated Hourly Personnel ( NAH ) pertinent Board of Trustees Policies. Regular, prompt attendance shall be considered an essential job responsibility.
