In this role, the successful candidate will have administrative responsibilities and report to the CEO. We are looking for a person with a strong initiative and a passion for excellence, who will work well in a fast-paced, team environment. Responsibilities include:
Prioritize, maintain and organize the CEO's schedule, action items, calendar, meetings and work flow, with particular attention to organization.
Act as gatekeeper and have ability to direct phone calls and visitors based on schedule, priorities and projects.
Using Excel, Word, and Powerpoint, prepare executive level papers as well as correspondence, memos, reports and filings.
Ability to incorporate detailed accounting and finance information into presentations and financial reports.
Prioritize, execute and manage the timelines of the department’s projects and on-going work.
Work with the team in various weekly, monthly, annual close processes.
Provide executive level administrative support to department which includes: filing, sorting /delivering mail, coordinating mailings, maintaining calendars, reconciling and processing department expenses and check requests, time entry, and tracking work flow.
Plan group events
Assist others on special projects.
Other duties as assigned and requested.
Adhere to effective internal controls.
5+ years as an administrative assistant, with 2+ years as an executive level admin.
Proven understanding of accounting and financial concepts.
Excellent written and verbal communications skills.
Demonstrated organizational, coordination and interpersonal skills.
Must be a team player with capability of working and communicating with all levels across the organization.
Proficiency with Word, Excel, Powerpoint and Outlook.
Ability to handle information on a highly confidential basis.
Demonstrated ability to multi-task and prioritize work under time constraints and pressure.
Strong customer service focus.
Attention to detail and accuracy.
Willing to work overtime as needed.
