Position Summary:
Under indirect supervision, provides a variety of administrative, logistical, project and executive support to the Director of Athletics. Coordinates day-to-day activities of the office and serves as the first point of contact and liaison with internal and external constituencies.

Education/Experience:
Bachelor's degree in Business or related field plus five years of experience working for an executive with progressively more responsible duties or expansive university work; or an equivalent combination of education and experience. Experience in confidential office protocol required.

Knowledge/Skills/Ability:
Knowledge of office management principles and procedures. Knowledge of general accounting principles. Knowledge of budget preparation and fiscal management. Exceptional interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community. Ability to maintain composure, effectiveness, and focus when facing difficult challenges; demonstrating sound judgment and discretion in a potentially stressful environment. Ability to manage multiple tasks under pressure and is highly adaptable to rapidly changing priorities. Must be a self starter with unquestionable integrity and a strong sense of professional ethics. Exceptional written and oral communication skills; strong command of grammar and English usage to include accuracy in proofreading, composing correspondence, editing, and typing. Ability to research, compose, proofread and identify suggested edits to drafts for special occasion presentations. Exceptional skill in prioritizing workflow and managing resources. Information research, analysis, and evaluation skills. Extremely detail oriented in coordinating activities. Excellent organizational and time management skills. Proficiency in technical and computer skills including MS Office; Word, Excel, PowerPoint, Visio, the Internet and other relevant software, plus operation of standard office equipment. Ability to troubleshoot and resolve minor issues with portable and peripheral office/business tools. Ability to make administrative and procedural decisions on sensitive, confidential issues and the ability to maintain confidentiality of information. Knowledge of the University structure, policies and procedures or ability to acquire knowledge in a short period of time. Ability to work evenings and weekends as needed.

Physical Requirements:
Sedentary work. Fingering, talking, hearing, repetitive motions. Close visual acuity. Not substantially exposed to adverse environmental conditions. Must be able to lift 15 lbs.

Essential Functions:
Manages the office of the Director of Athletics, serving as first point of contact and liaison with internal and external constituencies on a wide range of specified issues. Manages the Athletics budget with the Athletic Director. Interacts frequently with coaches, student athletes, officials, opposing institutions, conference administration, parents, vendors, and the general public on a variety of issues. Oversees and coordinates day-to-day activities of the office; develops policies, procedures, and systems which ensure productive and efficient office operation. Manages the disposition and/or resolution of individual problems involving coaches, student athletes, officials, opposing institutions, conference administration, parents, vendors, and the general public, as they occur. Performs research and analysis, as requested; prepares non-routine letters and/or reports which may be highly sensitive and confidential in nature. Demonstrates excellence in telephone and visitor contacts using appropriate professional decorum. Manages the Director of Athletics calendar, ensuring strategic use of time. Assists in reading and prioritizing of mail; manages incoming/outgoing mail/e-mail. Anticipates responses needed to answer routine correspondence; provides resource material and/or drafts. Assists with administrative duties and support activities associated with department and conference meetings. Prepares data concerning complaints. Provides administrative support for Athletic Department Office Manager. Assists with travel and other specified arrangements as requested. Provides assistance in the understanding and interpretation of University policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards. Assists in the coordination, supervision, and completion of special projects, as appropriate. Performs other related duties as required to promote effective functioning of the Athletics department.
