Associate, Distribution Operations

~ The Distribution Operations Associate is responsible for the Vehicle Master System (SAP) as it relates to ordering, production control and pricing for all assigned series. The position impacts “mission critical” business processes that directly impact corporate cash flow, dealer relations, and legal compliance as pertains to pricing documentation and government compliance. Accuracy, completeness, and understanding the complexity of linked processes is essential to successfully execute this position. Through periodic audit and analysis, the Associate should discover system and data errors and communicate with Management and HISNA for resolution.
~ Responsible for all D&I department reporting and reporting distribution with impact on all aspects of the business. Department reporting is disseminated from Executive Management down through all levels of the corporation including the regions and out through partner organizations such as HISNA, GLOVIS, MOBIS, INNOCEAN, HATCI, HMMA, KMMG, HMC and Retail Dealers.
~ Primary monitor of production order build status for all plants foreign and domestic.
~ Reports to management and provide recommendations to resolve issues. In this regard, the Associate coordinates and facilitates the weekly HMC Prioritization process, communications and submittal.
~ Serves as mentor and trainer to junior personnel within the operations team.
~ Manifesting & Receiving: This position backs-up the Analyst on receiving vehicles into HMA inventory. This process is critical to HMA operations in two ways. A multitude of corporate users rely on the integrity of the vehicle master file. Since the vehicle data is populated at the receiving process, spec related information must be created for each vehicle with error free information. In addition, the receiving of vehicles de facto implies a significant expense for each vehicle entered. The expeditious and accurate addition of VIN records enables increased wholesale velocity and corporate cash flow.

Major Responsibilities:
~ Responsible for the coordination and timely completion of departmental ad hoc projects related to D&I business and special management requests.
~ Responsible for the coordination and timely completion of Executive Management Reporting.
~ Coordinate and facilitate the weekly HMC Prioritization process, communications and submittal.
~ Responsible for coordination and distribution of all departmental end of month reporting.
~ Liaison to Distribution Planning for coordination of Production Order content, timing, regional completion, processing and submission.
~ For all Domestic and Foreign Plants Monitor Build Rates, Back Order Status and Shipping (assigned series), report to management, recommend and initiate action to resolve issues.
~ Provide support for Assistant Managers responsible for systems and process.
~ Maintain up to the minute SAP series data and generate monthly production orders for a minimum of 3 designated series.
~ Set-up and send Production Orders to the Regions and verify before transmitting to Plants.
~ Prepare Order for DTS transmission.
~ Monitor and help Regions to stay in the restrictions per each PO by setting the guidelines for specific packages/colors.
~ Maintain Domestic/Import Ordering SAP System.
~ On a weekly basis, monitor build rates and back orders, and advise management.
~ New MY vehicle set-up, Price Test, Monroney Label, Dealer Invoice, and MSO data input and test for system accuracy.
~ Maintain Vehicle Master and Dealer Master tables for any updates requested by other departments.
~ Run PIO check to verify correct application, correct issues in a timely manner.
~ Maintain SAP data for: description, pricing, availability, weight, frontload% etc.
~ Act as back-up for receiving and distributing vehicles as follows:
~ Receive shipping manifest and trouble shoot directly with HMC if necessary.
~ Verify and communicate receiving of non-production units in support of Customs and Product Planning.
~ Compile and distribute Weekly Shipping Summary.
~ Compile and distribute New Models Arriving Report.

Required Skills

~ Strong analytical skills including proficiency in Excel, Word PowerPoint, SAP, DTS applications essential.
~ Must have Mid Level Excel, Access, PowerPoint, SAP and project management skills.
~ Working knowledge of MS Access highly desirable.
~ Detail oriented, excellent organizational and communication skills.
~ Advanced math skills.
~ Organized individual with strong attention to detail.
~ Able to handle multiple responsibilities.
~ Strong interpersonal skills, oral communication skills and writing skills.
~ Self directed team player.
~ Ability to develop and analyze reports.

Required Experience

~ Two to four years of operations experience with one to two years in vehicle distribution highly desirable.

~ Must be a high school graduate.
~ Bachelor’s degree preferred.
