POSITION SUMMARY
The Associate Back Office Coordinator supports the initiatives and day to day functions of the Operations and Marketing team for our direct small business brand. This role helps enable the Marketing and Operations manager to drive strategic and leadership initiatives by assisting in the administration, data entry and quality assurance of the marketing, billing, customer management and general office duties. This is an entry level role to be staffed by a team of coordinators, all with a specific area of focus and a heavy amount of cross functionality.

ESSENTIAL JOB FUNCTIONS
This is a fast paced environment where it is imperative to be a self starter with the initiative to seek out answers and find operational efficiencies in the process as this team is developed. You will be working closely in a team and across multiple departments of the business so exposure and learning of a variety of critical office and business functions will help the right person develop a well rounded set of applicable business administration skills. This is a great opportunity for a fast learner with strong organization and logical skills and an interest in marketing, finance, office management, operations, or business strategic management.

Below are the specific areas of the marketing focused coordinator but will also include a variety of cross functional tasks across all of the back office operations team:

SPECIFIC AREAS OF RESPONSIBILITY
  • Marketing administration and support in the following areas:
oBlog administration/publishing/editing
oMarketing reporting data capture and entry
oSocial media administration
oMonthly surveys and announcements
oMarketing and customer list maintenance
oDirect mail and marketing administration support
oTeam and department metric tracking, data entry and analysis

SKILLS AND QUALIFICATIONS
  • Good oral and written communication skills.
  • Must be a detail oriented, hard working and fast learner
  • Experience or prior knowledge of social media a plus
  • Strong document formatting, publisher or web skills a plus!
  • Strong computer skills including Microsoft Office (Outlook, Word and Excel).
  • Expert level experience and skills in Excel a plus!
  • Adaptability
  • Ability to prioritize and multi-task
  • Personable, works well in a team and likes to have fun!
  • Prior experience working in an office/professional setting.
EDUCATION
2 or 4 year degree preferred

oCustomer billing setup, maintenance and reconciliation
oTime entry quality assurance and corrections in time tracking tool
  • Reporting/Tracking
oData export and reporting from customer management tool
oTeam and department metric tracking, data entry and analysis
  • Special Projects and General Office Management
oProcess Documentation and standardization

oData entry and correction in customer management system
oTeam and department metric tracking, data entry and analysis

  • Special Projects and General Office Management
oProcess Documentation and standardization
oOffice coordination (building maintenance point of contact, employee access, supplies, kitchen, company meals, event assistance)
oNotes and record keeping of management meetings
oExpense report entry for management and field technicians
oFront Desk and phone coverage as necessary
