Serving as an advocate for students, external clients, and the university, the Associate Director exists to leverage the full potential of the Tinkham Veal University Center (TVUC) to enhance the student experience through hosting student programs, university events and community activities. The Associate Director will oversee all operations and events associated with operating the university center and conference services. The department provides centralized scheduling and conference services as well as daily management of the University Center. The Associate Director provides oversight of planning and assessment, facility operations, marketing and sales, personnel, customer service and events management, and financial and administrative management. This position will be responsible for the direct supervision of two full-time assistant directors, including hiring, training and evaluation all performance.
Planning and Assessment: Following the direction of the University Vision and University’s 2013 Strategic Plan, develop and implement short-range and long-range strategic plan for the University Center & Conference Services. Assess student and overall client satisfaction and make necessary adjustments. Provide for adequate use of university resources; adjust staff training and effective time management as appropriate.
Manage Facilities: Provide leadership and direction for the Facilities and Operations that serve the University Center and the associated green space. Develop policies and procedures for the success of the department. Assure a safe and clean environment with complementary services. Create, implement, and oversee operations associated with the Tinkham Veale University Center.
Marketing and Sales: Provide oversight and vision for annual marketing plan to increase revenue through events and advertising options in facilities that maximizes departmental revenue, utilization and exposure find creative ways to generate revenue. Create and manage internal/external relationships to establish active use of the facility. Provide final decisions on cost negotiations and oversee all final service contracts. Manage event scheduling and registration, event planning, event management software, execution of event operations and logistics, custodial operations, and safety standards.
Manage Personnel: Oversee hiring, training and evaluation of all levels of TVUCr staff. Coordinate and assist with the day-to-day management of TVUC staff. Working with the assistant managers, provide a well-trained, customer-oriented staff that is focused on providing guests first class service while keeping the departments best interest in mind. Ensure that all staff know and understand applicable policies and procedures as they related to their role on the team. Promote and support individual and team staff development.
Customer Service and Events: Manage internal customer expectations regarding service, quality and cost effectiveness; resolve internal and external conflicts as necessary. In conjunction with the Assistant Manager for Conference Services guide the direction of the office to best meet the needs of the Division and University in generating revenue and serving students, staff and guests.
Oversee Finance and Administrative Operations: Manage all fiscal aspects of the University Center & Conference Services budget. Work closely with Budget Office to provide complete oversight to the management of the budget. Provide reports and recommendations on rate structure and revenue options. Analyze profit and loss statements for TVUC - communicate budget and forecast information to management. Oversee annual operating budgeting and implement plan to meet budget expectations. Administer and manage facility to ensure University maintenance and safety standards are maintained - assess and identify property risk management related issues. Coordinate capital improvements in addition to routine maintenance and repairs of property in accordance with CWRU policies and procedures. Oversee contractors by ensuring work is being done in a timely manner and in accordance with university standards. Exercise authority to approve and make payments of invoices.

External: Frequent contact with event planners, customers, contractors and consultants
Students: frequent contact with students
Experience: 7 years full-time experience with a minimum of 3 years as supervisor.
Education/Licensing: Bachelor’s degree required.
Directly supervise two full-time assistant directors
Must be able to work in a culturally diverse, demanding environment, demonstrating sensitivity to various constituent interests.
Ability to manage relationships with internal and external business partners.
Must be thorough, detail orientated with knowledge of residential building systems and repair.
Knowledge of event planning, facility operations and budgeting
Strong written and verbal communication skills.
Sound judgment and solid analytical and financial acumen. Ability to solve unique and challenging problems.
Proficient in use of personal computer including spreadsheets, word processing, database, and property management software.
General office environment. Frequent travel between buildings.
