Job Responsibilities

Under the supervision of the BHETA program manager, the BHETA Training Coordinator Assistant is responsbilbe for, but not limited to, the following: Typical duties include: scheduling, preparing for and conducting follow-up associated with program planning meetings; coordinating scheduling and logistics for trainings and events; organizing materials and equipment for trainings; assisting with set-up, hosting and registrations at training sites; developing marketing, orientation and training materials; frequent professional correspondence with training participants; contracting and negotiating with trainers; using office support technology and systems such as word processing, desktop publishing, and spreadsheets, to produce results and prepare documents; printing, filing and faxing documents; processing standard and electronic mail; creating and maintaining standard and electronic records, files and record keeping systems; interacting with a Learning management system; taking minutes and preparing agendas; ordering and maintaining program supplies; and performing other office support and maintenance activities as needed. Fingerprint clearance and succseful clearence of a background check is required prior to hire.

Minimum Qualifications

High School Diploma or equivalent and previous experience (at least 6 months) in an office or administrative environment.

Required Knowledge, Skills, and Abilities

Ability to perform a variety of moderate to high level administrative support assignments of a responsible nature; comprehensive knowledge of a variety of policies, procedures, and precedents; ability to perform administrative support covering a variety of subjects, programs, or projects; ability to order supplies and equipment, and maintain organized record keeping; thorough written and oral communication skills, including English grammar, spelling, and punctuation; ability to apply independent judgment, discretion and initiative to address problems and develop solutions; competence in understanding, interpreting, and communicating procedures, information, ideas and instructions; fluency in using standard office software packages for work products as needed; ability to apply independent judgment, discretion and initiative to address problems and develop solutions; competence in understanding, interpreting, and communicating procedures, information, ideas and instructions; ability to interact effectively with co-workers; understand and follow posted work rules and procedures; ability to relate well to others within the Behavioral Health Education & Training Academy (BHETA) environment; highly motivated self-starter, with a high energy level and strong interpersonal skills; ability to communicate effectively, both orally and in writing; well organized, ability to meet deadlines, detail oriented; possess good judgment and common sense; demonstrate a high level of cross-cultural sensitivity.

Preferred Education/Certifications

Bachelor's degree preferred

Preferred Experience/Special Skills

Two years of experience in an administrative/clerical position

Working Conditions

Office environment, as well as travel to and from training sites to assist with off-site registration/logistics and training evaluation. Travel to meetings to take minutes.
