Major/Essential Duties of Job

Prepares and reviews various purchasing documents including purchase orders, requisitions and other complex purchasing specifications and documents for departmental purchasing. Reviews invoices and prepares and process on-line payments using FAMIS and Laserfische systems. Maintains all accounts payable records and documentation, account files and vendor files. Responds to inquiries from vendors and from fiscal office. Monitors expenditures and balances of accounts to ensure adherence of budget categories and appropriateness of spending. Tracks ending dates of grants and other fiscal accounts. Distributes monthly reports to faculty members regarding grant balances and responds to questions regarding monthly activity. Verifies accounts on a monthly basis, investigating any discrepancies on account balances and recommending appropriate corrective action. Prepares spreadsheets as needed to provide infomration to the Administrative Service Officer. Sets up new accounts, terminates ending accounts, and processes budget allocation notices. Assists with cash management with preparation of deposit transmittals, processing budget increase, and maintaining fiscal records of deposits. Assists with year-end close out of accounts and new year start-up activities, adhering to appropriate deadlines and procedures. Serves as travel assistant and/or travel delegates in CONCUR to faculty and staff traveling on research funds including reviewing travel authorization requests as to the appropriate usage and availability of funds; assists with the preparation and routing of travel expense reports; investigates pending travel payments and charges as needed. Provides staff support for the Associate Department Heads in the department including answering phone, handling correspondence, scheduling meetings, filing and maintaining records, preparing visual aids for presentations, and special projects.

Occasional Duties

Serves as backup to other accounting and office personnel as needed. Other duties as required.

Required Education:
High school diploma or any equivalent combination of training and experience

Preferred Education:
Associate degree. Five years experience with the preferred education, including task management experience.

Required Experience:
Seven years experience in general office, bookkeeping or personnel operations.

Preferred Experience:
Experience with TAMU FAMIS system.

Required special knowledge, abilities, and skills:
Use of standard office equipment and personal computers. Working knowledge of spreadsheets and word processing software programs. Good interpersonal and communication skills. Good planning and organizational skills. Ability to multi task and work cooperatively with others.
