The Business Operations Coordinator represents an expansive opportunity to support a broad range of pre-sale and post-sale business needs in support of the Government Business Unit. The principle responsibility of the Business Operations Coordinator is to support the effectiveness of ESI’s client facing teams through the management and implementation of internal resources and systems. In addition, the Business Operations Coordinator is the liaison for departments across ESI and must display strong customer contact and communication skills to work effectively in cross-functional teams.

The Business Operations Coordinator reports directly to the Business Unit leader. Responsibilities include executing key business initiatives, creating and administering tracking tools, sales lead administration, sales contest administration and providing general administrative and project support for the entire Business Unit’s Leadership Team.

Primary duties include administrative support, periodic report generation, data management, event planning, customer service and marketing support. In this position, the Business Operations Coordinator must be able to think creatively, demonstrate a keen sense of urgency, show initiative and approach all duties and responsibilities with discipline in the highest quality manner possible.

Key Responsibilities

Business Unit and Operations Support
  • Recommend, implement and maintain all company and business unit policies, procedures, programs and tools to improve the operational efficiency of the business unit
  • Provide administrative support to business unit team members
  • Support the sales team through the entire sales cycle, including assistance with proposal creation, distribution of marketing materials, and development of sales presentations
  • Assist the engagement management team in the fulfillment and filing of all necessary client contractual data including logistical, billing and legal information
  • Manage the entry to and effectiveness of various sales systems – SalesForce.com, Plateau, marketing and prospecting databases
  • Assume primary ownership for standard sales, financial and activity-based reporting, including sales pipeline reporting, weekly performance reports and ad hoc reporting requested by GBU leaders
  • Develop, deliver and maintain an efficient business reporting process in support of annual performance expectations and results
  • Provide creative input into the design and implementation of sales contests and incentive programs
  • Maintain a detailed log of wins and losses reported by the sales staff
  • Serve as project contributor for Department-wide projects
  • Maintain a GBU shared calendar and meeting schedule
  • Other duties as assigned

Communications
  • Manage all shared Business Unit communication, including ESI’s intranet, individual functional team and GBU meeting agendas and minutes
  • Serve as the main point of contact for all team member inquiries, comments and suggestions, as well as queries from other ESI departments
  • Report and monitor weekly commitments and action items assigned to team members, as recorded within meeting minutes
  • Direct client and prospect queries immediately to the appropriate person for follow-up
  • Manage the daily lead queue to minimize the number of untouched sales leads
  • Develop and deliver activity and status reports to managers using all available tools
  • Demonstrate best practices in the use of standard communication tools such as email and SFDC to increase overall efficiency and effectiveness

Required Experience
  • BA/BS and top academic performer
  • Related professional work experience
  • Proven ability to manage multiple projects and juggle competing priorities and deadlines
  • Organized and detail oriented, including the ability to operate with high energy in a fast paced environment
  • Excellence in verbal and written communication and relationship management
  • Strong work ethic that is proactive, self-motivated and accountable
  • Creative and innovative thinker that possesses mature judgment and confidentiality
  • Strong technical skills in Word, Excel, and PowerPoint. Experience in Salesforce.com, SharePoint and MS Project preferred
