Work with the Director of Clerkship Coordination in providing administrative, technical, and office support in areas such as the following: coordinating the scheduling of orientations, clinical clerkships and electives and providing information to both students and clerkship venues.
Duties and responsibilities:
Maintain file records, coordinate with faculty in obtaining volunteer faculty appointments, and coordinating assessment activities. Schedule meetings, appointments and events for the clerkship program. Coordinate the maintenance of web and printed material related to the clerkship program. Coordinate student scheduling of 3rd and 4th year orientations and clinical clerkships and electives. Set up student schedules with area preceptors. Provide student information to clerkships venues. Provide schedule and clerkship information to students. Maintain student and clerkship files. Serve as a back-up liaison among students, clerkship venues and Indianapolis for the IUSM-E Clerkship Director. Coordinate with clinical faculty in obtaining volunteer faculty appointments; maintain files for all clerkship/ elective faculty; coordinate with Indianapolis for the continuation or termination of volunteer faculty appointments. Assist the IUSME Clerkship Director in the management of partnerships with host hospitals, clinics and physician offices as well as assist with faculty development activities for clinical education faculty.
The successful candidate will possess the ability to supervise and/or coordinate the activities of clerical employees and other Center employees as called upon. Works with a diverse group of internal and external individuals.
Required: HS diploma, BS/BA degree strongly preferred, plus 3 years of office related experience. Experience in educational system useful but not required.
Strong oral and written communication skills required. Solid attention to detail and the ability to multitask and work independently required. Sound interpersonal, organizational, and time management skills required. Knowledge of microcomputers, word processing, spreadsheet, and electronic mail software required, especially MS Office Suite (Excel, Word, PowerPoint, Outlook). Must be able to work with a diverse group of internal and external individuals.
