This position will provide administrative secretarial support to the Office of Child Welfare Administration (OCWI); compiles, composes and disseminates letters, memos, correspondence and excel spreadsheets as required; independent clerical duties such as ordering supplies, answering phones, and tracking inventory; responsible for maintaining filing system, tracking system and automated case management system; track and maintain logs for all vehicles assigned to this Administration; interact with the public and DCYF staff to resolve inquiries or provide information to appropriate personnel for resolution; schedule interview and various appointments for OCWI; assist in the completion, if needed, of all travel requests and ensure timely submittal.
Knowledge of: preparation of statistical reports, memos and letters; routine filing and handling of confidential information; computer programs/software to develop and maintain reports; how to diffuse an irate customer in a calm manner; handling and maintaining confidential information.
Skill in: communication in dealing with the public and internal staff; handling multiple tasks on a daily basis; operating office equipment including faxes, copiers and printers; following written and verbal communication.
Ability to: multi-task on a daily basis to ensure assignment turned in timely; stay calm while dealing with the public and DCYF staff; gather information, maintain and update files; follow written and verbal instructions; communicate and respond effectively with clients; recognize and maintain confidentiality of written and verbal communication.
IDEAL/PREFERRED CANDIDATE: Two years of clerical experience. Job related post high school education and training may substitute on a month for month basis up to one year of the required experience.
