Job Responsibilities:

The Clinical Secretary is responsible for performing tasks as assigned by the Director of Clinical Services, RN.

Initiate, distribute, coordinate, log and mail out all interim orders to physicians for signatures as
designated and verifies that signed POT's and verbal orders are received signed from the MD
before bills are released.
Monitors timely return of all POT's and interim orders, threshold no more than 6% greater than 30
days.
Check in all signed orders based on MD signature date according to policy 14.84.

Processes and passes batches daily making corrections and communicating to staff as directed by
supervisor, to include supply batches.

Logs referrals for skilled nursing, social work, physical therapy, occupational therapy, and speech
therapy as directed by supervisor.

Enters all patient information, and initial assessments into the computer. Generates POTs and
recerts.

Enters McKesson progress notes, discharges, & interim orders.

Generates reports, listings, and correspondence, as directed by supervisor.

Accurately types, proofreads, photocopies, and files materials as requested and as necessary.
Coordinates/screen calls from patients, caregivers, and home health nursing assistants to case
manager. Employes proper telephone etiquette. Answers phone properly, is friendly, courteous,
professional, and discreet with all callers.

Fax lab results to appropriate parties, (ie infusion companies, MD's, case management etc.)

Orders supplies for patients timely and accurately to include diaper list.

Tracks hospitalization and discharge summaries.

Maintains patient charts including setting up, breaking down, deficiencies and thinning per policy.

Prepares medical records for storage.

Creates bereavement records for expired Hospice patients.

Assists with billing and billing cleanup, as directed.

Adheres to the Agency's Personnel Policy and Compliance Plan.

Willingly performs other duties as assigned by supervisor.
Displays a high degree of courtesy, tact, and knowledge of services provided by the agency in all
contact with staff, patients, and visitors.

Job Qualifications:

High School Diploma or equivalence required.
Associates Degree in Business Administration, or related field preferred.
At least one-year experience in healthcare preferred.
Working knowledge of current software relating to position.
Ability to work independently.
Working knowledge of medical terminology.
