CUSTOMER SERVICE SPECIALIST

LOCATION: Scott County Government Center, Shakopee, MN, & Elko New Market Service Center, Elko, MN

ESSENTIAL DUTIES INCLUDE:
• Processes various applications, including motor vehicle, driver's license, Dept. of Natural Resources vehicle registration & renewal, game & fish licenses vital statistics, building permits, & homestead applications. • Organizes schedule with co-workers between counter & desk on a rotating basis, multi-tasking between each to respond to customers’ needs/requests. • Assists customers at one of the customer service counters, issuing, accepting & viewing a variety of forms & documents related to the procurement of licenses, registrations, permits, & other service counter transactions. • Assists customers at the desk, by phone & email; makes follow-up calls to regulatory agencies; & addresses taxpayers concerns over the phone & via email. • Reviews forms to ensure complete & accurate information is provided. • Recommends needed changes & assists in implementation of new techniques to enhance & improve procedures within the department. • Interprets & implements Local, State & Federal laws & regulations. • Notarizes & witnesses the signing of various documents. • Calculates fees & receipts monies related to the general ledger; handles cash/payments, makes change & balances a cash drawer on a daily basis; balances tax drawer as applicable. • Compiles & inputs data needed to process information for various reports; produces, generates, assists in verifying reports sent to various governmental agencies. • Sorts, opens & works with incoming & outgoing mail, including drop boxes. Processes & handles Real Estate tax payments, refunds, & penalty letters.
• Accepts & processes vital statistic documents, including birth, death, & marriage, as well as real estate documents to determine if they are recordable. • Maintains expertise in one of the eight program areas in Customer Service; maintains inventory for the program area; updates all staff on changes within program area; upon year-end, trains newly assigned staff member in that area of expertise; learns a new program area. • Works the hours &/or shifts assigned & begins & ends work on time. Will be assigned to work both at the Gov’t Center in Shakopee, as well as at the Service Center in Elko New Market.
Requires equivalency of HS graduation & four years of customer service, computer, or records related experience. Preference given for motor vehicle licensing experience. Intermediate skill in computers including MS Word, MS Outlook, & related MN State databases/systems are highly desired. Driver & Vehicle Services Title & Registration Certification is also a plus.
