As a Sales & Catering Administrative Assistant , you will perform a wide range of clerical and administrative duties in order to support the daily operation of the Sales and Marketing Department.
The Sales & Catering AA implements and maintains guest appreciation for all groups by performing the following duties:
*Maintains thorough knowledge of the hotel's Sales & Catering policies and procedures. Coordinates the effective utilization of policies and procedures throughout the sales department and all other departments in hotel.
*Assists in coordinating blitzes including communication with new prospects
*Regularly meet with Director of Sales and Marketing and Sales & Catering Managers to communicate and discuss sales activities.
*Administers group events including greeting all groups and individual tours, placing welcome baskets in group contacts' room and taking care of any final items with the group at check out.
*Composes and types routine correspondence, reports or contracts (to include banquet event orders, sales contracts, PACE report, statistical reports etc.) based on organizational practice, policies and procedures at the direction of the Director of Sales.
*Ensures all documents produced by the Sales & Catering Department (i.e. BEO's, contracts, rooming lists, proposals) are completed accurately and on time.
*Tracks Locally Negotiated Rates.
*Maintains a filing system and files sales records, correspondence and other miscellaneous items.
*Schedules appointments, travel arrangements, reservations and conference rooms for clients and/or members of the Sales Department.
*Answers the telephone and gives information to callers or routes call to appropriate sales personnel.
*Sends information to guests that inquire about the property.
*Makes copies of correspondence or other printed material.
*Responds quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction.
*1-2 years of experience in a similar position or hotel experience required
* Knowledge of hotel sales and/or catering preferred.
* Must possess the ability to handle multiple tasks
* Excellent communication and interpersonal skills
* Must possess a strong team spirit;
* Excellent attention to detail;
* Prior customer service experience is required;
* Knowledge of basic PC skills;
* Microsoft/Excel experience a plus.
