The Catering Coordinator is the liaison between the Rainbow Room and the client and is responsible for coordinating and ensuring execution of all meetings and events. This position details the clients’ event or meeting including food and beverage menu planning, event design, and audio visual specifications.
Average % of Time
50% Work with, and guide, clients with detailing of all event requirements. Plan menus, coordinate timing of events, and service details to exceed customer expectations. Ensure capabilities and limitations of banquet and catering facilities, are not compromised.
40% Create, revise, and distribute banquet event orders to Catering, Banquet and Kitchen management. Respond promptly to on-site client requests and update all departments accordingly. Work with Director of Operations, Executive Chef, Banquet Manager, and Catering Sales Manager to ensure seamless event execution. Review changes and communicate client requests with Kitchen, Banquet and Catering team.
10% Liaise with all associated vendors including florist, entertainment and audio visual
Due to the cyclical nature of the travel & tourism industry, employees may be required to work varying schedules to reflect the business needs of the property. In addition, attendance at all scheduled training sessions and meetings is required.
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the business:
Professionally represent the Rainbow Room and the Rockefeller Center Club at community and industry organizations and events.
Participate as team player with other key team members.
Provide constructive feedback to all departments including culinary, operations, and sales and
Be a leader and role model to all employees.
Additional duties as necessary and assigned.
SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:
Periodically review and suggest modifications to catering menus to improve the guest experience.
Extensive food and beverage experience and knowledge to be able to effectively sell the products and services within the catering sales environment.
Strong sales skills, leadership abilities, sound judgment and knowledge of banquet operations
Exceptional customer service, interpersonal, written, and verbal communication skills.
Ability to be a team player.
Excellent computer skills as well as proficiency in Microsoft Office Suite products including, but not limited to Word, Outlook, and Excel.
Experience in a fast paced, high volume environment and ability to multi-task and work under pressure while still being detail oriented and personable.
Exceptional organizational and administrative skills, as well as strong attention to detail.
Ability to read, write & speak fluent English.
Bachelor’s Degree preferred
A minimum of three years of New York luxury catering and event management.
Licenses or Certificates:
Extensive knowledge and experience with Delphi is required.
All employees must maintain a neat, clean and well-groomed appearance per Tishman Speyer standards.
Bilingual or multilingual ability preferred.
Most work tasks are performed indoors. Temperature is moderate and controlled by environmental systems.
Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. This includes travelling to and from meetings and may include air travel. Length of time of these tasks may vary from day to day and task to task.
Must be able to exert well-paced ability to maneuver between functions occurring simultaneously.
Must be able to exert well-paced ability to reach other departments on a timely basis.
Must be able to lift up to 15 lbs. occasionally.
Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability
and visual acuity.
Talking and hearing occur continuously in the process of communicating with guests, supervisors
Vision occurs continuously with the most common visual functions being those of near vision and
Requires manual dexterity to use and operate all necessary equipment.
Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
Must be able to perform duties in locations over 60 stories above ground and be comfortable in elevators
