Position Title: Charter Scheduler/Coordinator

Status: Non-Exempt

Position Reports to: Charter Manager

Department/Location: Charter Department

Primary Operational Objectives:

The primary objective of this position is to support customers by coordinating on demand charter flights and managed aircraft flights, ensuring an exceptional level of safety, security and service.

Essential Job Functions:
  • Provides exceptional customer service for internal and external customers.
  • Schedules flights and coordinates quotes to customer specifications
  • Coordinates with Charter Manager and/or Chief Pilot regarding selection of aircraft, crew, and destination airport
  • Responsible for FBO selection, rental car, hotel, catering, negotiating fuel discounts with fuel providers and any other flight details
  • Verifies and coordinates all arrangements and itineraries for customers and crew the day before the trip
  • Schedules flight crew to ensure compliance with company and FAA regulations regarding currency, flight and duty times
  • Obtains any necessary permits or visas when flying into and out of foreign countries for both passengers and flight crew
  • Advises Pilot-in-Command of any item requiring special attention regarding his assigned flight
  • Assists with Marketing Department with Sales and Marketing duties as assigned
  • Checks and verifies the TSA “no fly list” for any applicable flights
  • Coordinates the posting of all online charter availability and quotes with Marketing
  • Email the Daily Update to all Charter Department team members each workday
  • Coordinates after-trip follow-ups with Marketing
  • Communicates regularly with Charter Operators and/or Brokers
  • Completes monthly reporting
  • Attends & works at company events (e.g. Business After Hours-Chamber of Commerce)
  • Coordinates flight & trip logistics for executives
  • Knowledge of company aircraft
  • Coordinates with the Accounting Department to process customer invoicing
  • Qualifies all outside vendors to ensure quality and safety
  • Coordinates call backs on trip quotes
  • Responsible to follow and comply with all safety rules and regulations
  • Other administrative duties as assigned
Qualifications:
  • High school diploma or equivalent is preferred
  • Minimum of 2 years of experience in a customer service or administrative role is required
  • Must have previous customer service experience, including in-person and telephone customer support.
  • Previous experience as an aircraft Scheduler/Dispatcher a plus
  • Must be proficient in all Microsoft Office products (excel and outlook)
  • Graphic design experience a plus
  • Customer Relationship Management (CRM) software experience is a plus
  • Must have strong attention to detail and organizational skills/ability to meet deadlines
  • Must be a self-starter and have the ability to maintain a high level of productivity with very limited supervision
  • Good knowledge of geography and time zones
  • Work flexibility (Work a regular day shift; as well as be ‘on-call’ 24 hours a day)
  • Excellent interpersonal and teamwork skills
  • Excellent oral and written communication skills
Physical Demands:
  • Frequent standing, walking, and sitting required
  • Ability to lift 20 lbs
  • Limited travel is required
