Executive Assistant to the Executive Director Reporting directly to the Executive Director, the Executive Assistant provides executive support in a one-on-one working relationship. This position is comparable to a Chief of Staff position and in NOT purely administrative. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Executive Director. He/she will help the Executive Director remain apprised of the day to day organizational workings.

This position requires superior organization, coordination, and facilitation skills to ensure effective outcomes. He/she will have strong planning capabilities and will be essential to the effectiveness of the Executive Directors daily activities and strategic plans.

The Executive Assistant will have a highly professional, warm/personable style, which fosters trust and cooperation. Further, he/she will have a candid, concise, and open approach to daily interactions with the Executive Director, his direct reports and staff, and current/prospective Members, Funders and Partners. He/she will have demonstrated capabilities to create, maintain and synthesize reports/graphs that provide value-added information for the Executive Director.

Roles and Responsibilities

Plan, coordinate and ensure the Executive Directors schedule is followed and respected
Heavy and complex calendaring with daily reprioritization of meetings, including contact & communication with numerous people to coordinate schedules across multiple time zones and priorities
Knowledge to seamlessly integrate social events and personal/private appointments into business calendar
Provide logistical support for the Executive Directors in-state and out-of-state travel, and assist with travel preparations
Assist the Executive Director in completing his daily, weekly and monthly priority deliverables, and assist in securing needed inputs from staff for select deliverables
Write thank you notes when directed to key donors and stakeholders from the desk of the Executive Director
Work closely and effectively with NCSEAs Management Team to keep them well informed of upcoming commitments and responsibilities
Manage a variety of special projects for the Executive Director, some of which may have organizational impact
As directed, coordinate with staff to organize all quarterly Board of Directors meetings, committee calls, assembly and distribution of confidential board materials, and draft Board meeting minutes for the Board Secretary to review and sign
Support onsite quarterly meetings and organize all elements of offsite dinners as requested by the Executive Director
Coordinate and participate in Management Team meetings and handle action items and any follow up as directed
Assist in coordinating the agenda/schedule of team meetings, events and off-sites, and events
Create draft presentations and spreadsheets for the Executive Director and Director of Operations
Ensure Executive Director receives timely and regular reports on organizational metrics, analytics and milestones from the Management Team, working with Director of Operations to create report templates as needed
Prepare correspondence on behalf of the Executive Director
Check emails and voice mails and act in accordance – delegate, respond or flag to the Executive Director
Maintain electronic and paper filing systems
Provide personal assistance and support
Other duties as needed
Executive Assistant to the Executive Director
Four year degree required. Master's preferred
An understanding of clean energy, electricity and the utilities is required
Proven ability to handle confidential information with discretion and be adaptable to various scenarios handling sensitive issues with grace
Superior writing and verbal communication, administrative, analytical and organizational skills
Polished professional who can represent the face of NCSEA
Demonstrated success where personal results and accountability are evident
Experience working in a fast-paced environment
Highly proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Capacity to get up-to-speed quickly
Adaptable and flexible

Knowledge, Skills and Abilities:
Ability to exercise good judgment with strong emotional intelligence in a variety of situations, and the knowledge to maintain a realistic balance among multiple priorities. Excellent attention to detail a must
Ability to finesse complex and constantly changing travel itineraries and logistics maximizing Executive Directors time for productive schedule of meetings
Expertise in providing smooth communication and update between the Executive Director and staff while demonstrating leadership to maintain credibility, trust and support with staff
Highly resourceful and capable of working independently and with a team on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
Strong ability to multitask and change direction at all times
Very strong interpersonal skills and the ability to build relationships with all levels of companys staff, board members, customers, Executive Directors family and personal contacts
Creative and enjoys working within an environment that is mission-driven, results-driven and culture oriented
Excellent communication skills – strong ability to communicate effectively with executives, peers, the public, and others via all means of communication including telephone, email, correspondence and in person
Strong work ethic with positive, up-beat attitude, with a friendly, approachable and helpful demeanor and a 24x7 mentality
Clearly and concisely presents ideas
Positive attitude and ability to make things happen

Compensation:
Non-profit salary commensurate with experience and education
