The Clerk II provides clerical and receptionist services for the Department of Medical Imaging. Must demonstrate good organizational and interpersonal skills. Appropriately answers telephone and always represents self, department and organization in a positive courteous manner. Exercises professional judgment in performance of services and maintains a demeanor complimentary of medical ethics.
Adheres to organizational and departmental policies and procedures. Major Duties: Meets organizational expectations as defined by the Employee Standards of Performance, hospital and department policies and procedures, and the hospital’s strategic goals. Verbalizes a clear understanding of continuous quality improvement and customer satisfaction measures and actively participates in improvement initiatives. Greets patients and customers.
Answers the phone in a professional manner and routes calls, takes thorough and complete messages as appropriate. Communicates effectively with patients, team members, physicians, and other healthcare providers. Demonstrates effective interpersonal and customer service skills. Able to demonstrate and perform basic problem solving.
Supports problem solving appropriate to the department, including using the appropriate chain of command in a timely manner. Utilizes two patient identifiers in support of National Patient Safety Goals to perform job duties. Provides results to physician offices as requested. Provides patients and family members with information as appropriate.
Utilizes office machines such as a fax machine and copy machine. Responsible for greeting patients, able to process patient orders (admit orders and physician orders) by entering orders into the Radiology Information System and relay those orders to the appropriate imaging area. Utilizes radiology information system, with understanding of clinical information pertinent to exams. Performs Medical Necessity checking on orders before processing.
Demonstrates flexibility in adjusting to variable workload and job duties. Responsible for transfer of electronic images from PACS system to burning CDs or printing of images to laser film. Demonstrates proficiency and knowledge of PACS to assist other caregivers to view images, etc. Prepares and delivers patient request, film jackets, inserts, etc.
in a timely manner. Prepares and processes subpoena requests. Performs tasks that are supportive in nature to the essential functions of the job and maintaining unit function. Assists with control of costs through the judicious use of human and material resources.
Provides prompt responses to requests, questions, and/or problems. Maintains a clean, neat and safe work environment, checks for cleanliness and neatness in patient areas. Maintains appropriate inventory of office supplies to ensure supplies are readily available in an organized manner. Assures that waiting room is maintained in a neat, tidy manner.
Positively responds to changes in work schedules; demonstrates flexibility. Demonstrates the ability to perform work in an accurate and timely manner. Handles self well in times of crisis. Coordinates multiple exams on same patient between areas of medical imaging in order to expedite patient care and minimize patient time in the department.
Performs other duties as assigned or directed to ensure smooth operation of the organization. Education/Knowledge/Skills/Abilities: Preferred: Basic knowledge of hospital operations and medical terminology with radiology specific experience. Required: Ability to use computer based information systems, as this is the general mode of obtaining and processing information. Familiarity with office machines and computers.
High school graduate or equivalent with six months previous work experience in a clerical/secretarial capacity.
