Provide courteous and efficient service to both internal and external clients, visitors and vendors.
PRINCIPAL DUTIES AND RESPONSIBILITIES*
Assist with tasks to include, but not limited to, incoming and outgoing faxes; photocopy, arrangements for car services, placing calls, travel arrangements, requests food/beverage, and equipment, and general office assistance. Performs opening and closing procedures.
Review Visitor Notification List and Meeting Room Manager Reports to ensure working knowledge of all visitors, meetings, conferences and events.
Answers the telephone in a timely manner, takes complete and accurate messages, treats all external and internal clients professionally (and with courtesy), and ensures that messages are conveyed within twenty minutes of receipt.
Maintains current reference materials and neighborhood information at client service centers and receptionists to provide visitors with general information.
Compiles statistical information for registered visitors for the firm's metrics report.
Coordinates with other Client Service Representatives to cover breaks, lunch hours, and vacation schedules.
Ensures that all visitors are announced and escorted as requested to conference rooms in a timely and professional manner.
Receive and respond to visitor office requests in conjunction with the DC Space Coordinator.
Receive and respond to firm apartment requests in Washington; ensuring that apartments are well maintained.
Assists Operations Groups with special requests and assignments.
Assumes additional responsibilities as assigned.
Reports suspicious visitors to Operations and Building Security.
Contributes to the Firm's Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a "can do" .
Past Receptionist experience required, corporate experience preferred.
Excellent oral and written communication skills.
Excellent interpersonal and organization skills.
Pleasant and courteous manner.
Business attire required.
High School Diploma or GED required. Two year college degree preferred.
Prior Receptionist experience and/or corporate experience is highly desirable.
Experience with Microsoft Outlook, Word, Excel.
Past Receptionist experience required.
