The Client Services Administrator will provide administrative and process support to the services team. This includes working closely with the VersionOne accounting team and the Services sales team. Ideal candidates for this position are proactive, detail oriented administrative professionals with the ability to manage multiple simultaneous projects.

Responsibilities:

Create and maintain SOW process as needed:
  • manage and maintain SOW templates
  • create SOWs and send to clients based on standard templates
  • manage process of getting SOWs signed and returned
  • track SOWs and training opportunities in salesforce.com
Assist with scheduling for services engagements:
  • ensure Services calendar is kept up to date
  • find open times with coaches to propose to customers
  • shift engagements and coaches to accommodate schedule changes
Track services opportunities:
  • track services delivery against services opportunities
Maintain public training registration systems:
  • create and maintain new public classes in RegOnline
  • track registrations, adjust transactions, and assist customers with registration issues
  • coordinate with services consultants to ensure public classes are covered
Interface with accounting department:
  • ensure proper accounting for training opportunities
  • ensure proper accounting for public training classes
  • assist with month end reconciliation
  • ensure delivery is tracked accurately for each Services coach
  • manage invoicing for all subcontracted work
  • manage purchase orders for all training opportunities and assist collections team as needed
Work with partners team:
  • respond to training requests, introduce partner if appropriate and track leads sent to partners in salesforce.com
Assist with large client implementations:
  • manage logistics and scheduling for large client implementations
Manage public classes hosted by VersionOne:
  • manage scheduling, contracts, classroom setup, and student registrations for all onsite public classes.
Assist with services marketing efforts:
  • work with marketing to schedule email blasts for public training classes
  • ensure classes are up to date on multiple company and industry websites
  • assist students in claiming their PDUs from PMI
Qualifications:
  • 3+ years high level office administration experience
  • Attention to detail and accuracy required
  • Good communication and time management skills
  • Advanced skills in Microsoft Excel, Word and PowerPoint
  • Software/technology company experience is highly desirable
  • Salesforce.com experience a plus
  • Bachelor’s degree
