The primary function of a Publishing Services Client Services Specialist is to act as a support to the Client Services Manager in their daily functions acting as a business partner between Publishing Services and the affiliates of Agora, Inc. The Client Services Specialist will be required to assist the Client Services Manager with preparing presentation materials for meetings and providing necessary follow-up post meetings.

The Client Services Specialist uses electronic mail, written correspondence and the Internet in order to assist clients. The ideal candidate must have strong proficiencies in Microsoft Office and PowerPoint. They must be able to document and be very well organized while working in a very fast moving environment. Substantial knowledge of client’s products, services, subscriptions and billing practices is required to ensure that business needs and goals are being met.

Primary Responsibilities of the Client Services Specialist include the following activities:
  • Demonstrate energy, empathy, and problem solving skills while delivering outstanding service to our clients
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings, appointments and travel arrangements for managers
  • Prepare agendas and presentations for meetings and prepare schedules
  • Record, compile, transcribe and distribute minutes of meetings
  • Develop thorough knowledge of client’s products and services
  • Prepare weekly recaps and quarterly business reviews
  • Prepare project requirements documentation for new projects
  • Others duties as related to the position
The Client Services Specialist is proficient with computer systems, including keyboarding, typing, data entry, operation of a computer mouse and Web navigation. The Client Services Specialist works to meet and exceed service goals set by Publishing Services.

This position operates in a general office environment, and requires frequent and continuous use of a personal computer and telephone.


Knowledge, Skills and Abilities:
The Client Services Specialist is proficient in locating information using online customer relationship management systems (Advantage), Web-based knowledge management systems. The Customer Solutions Specialist is responsive, a problem solver and possesses charismatic personality. Must be able to provide vision to client and be proactive by utilizing proven professional communication abilities including active listening.
  • High School Diploma (or equivalent). 4 year college degree preferred.
  • Able to use a personal computer, mouse and keyboard with proficiency. Must have proficiency in Microsoft Word and PowerPoint
  • Basic Web navigation skills and experience
  • Effective listening skills required
  • Ability to ask probing questions and correctly identify customer needs
  • Proven ability in objection handling techniques
  • Knowledge of company products, services, marketing campaigns and retention offers
  • Self-motivated
  • Upbeat, consultative demeanor, combined with a high energy level
  • Strong customer focus, team player and strong work ethic
  • Able to multi-task (listening to a meeting while taking thorough notes
  • Strong communication, organization and time management skills
  • Ability to maintain composure
  • Able to deal with customers under circumstances requiring tact and diplomacy
  • Strong interpersonal skills
  • Strong verbal communications skills including diction, grammar and tone
  • Able to handle confidential information
  • Interest in further developing sales skills through on the job experience and computer based training or similar programs is desirable
