Deschutes Rheumatology Clinic Administrator

Job Title: Clinic Administrator

Department: Management

Immediate Supervisor Title: Administrator

Supervisory Responsibility: Front office and back office personnel.

General Summary: An exempt part-time position responsible for managing operational, marketing, and personnel responsibilities for the partners of Deschutes Rheumatology, LLC.

Essential Job Responsibilities:

  • Assist in assuring compliance with project deadlines and timeframes.
  • Establish and maintain project administrative standards, procedures, and workflow. Coordinate and participate in meetings or work sessions related to project tasks. Create and edit, or coordinate creation and editing of large, complex project documents and spreadsheets as needed based on research and analysis.
  • Manage and track project milestones and deliverables; monitor project activities for compliance with state and federal laws, subcontractor or vendor abuse or fraud.
  • Work closely with IT Support Trainer to maintain, improve EHR, Phone, and various IT systems.
  • Monitor staff performance metrics.
  • Manage customer relationships.
  • Manage marketing strategy, website, and advertisements.
  • Recruit, and evaluate personnel; including front office and medical office support staff.
  • Work with other supervisors, managers, and physicians to facilitate cross-training and ensure inter-department communication and cohesion.
  • Coordinate and support project meetings as assigned and participate in project task forces and committees when requested. Develop and revise office procedures relating to specific project needs.
  • In connection with the billing department, monitor patient billing concerns, pre-authorization, payment plan, and financial assistant programs.

  • Experience: Minimum two years supervisory-level experience, preferably in medical practice setting.

  • Experience with reimbursement mechanisms of healthcare.

  • Experience gathering and organizing information or data to prepare reports
  • Experience working independently
  • Experience marketing.
  • Experience with Microsoft Word, Excel, Access, PowerPoint, Visio, Outlook

  • Ability to demonstrate full range of motion including handling and lifting patients, manual and finger dexterity, and eye–hand coordination.

  • Equipment Operated: Standard office equipment including computer hardware and software.

    Work Environment: Combination of office, exam, and other clinical settings. Frequent exposure to communicable diseases, biohazards, toxic substances, medicinal preparations, and other conditions common to a clinic setting.

    Mental/Physical Requirements: Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 50 pounds. Occasional stress caused by multitasking and level of responsibility.
