Summary of Position: The Conference Coordinator works closely with the Conference Manager and Senior Manager of Meetings Operations to ensure that initiatives related to ISACA’s conference development process are implemented. The person in this role must have the ability to adapt to quickly changing priorities, make connections across various processes, procedures, and initiatives and be a skilled problem solver. Attention to detail is critical. In this role the Conference Coordinator must exhibit excellent customer service skills with a “can do” attitude and the drive and passion to exceed expectations. A highly proactive work/communication style is critical for this role.
Position Responsibilities Include:
- Answering daily emails, phone calls and faxes relating to live events
- Complete and route all necessary paperwork for event registration, customer refunds, customer credits, payment submission, and visa assistance.
- Attend and actively participate in planning meetings with events team to understand program structure
- Monitor registration numbers daily for all group live events, and report when events reach capacity
- Maintain all supplies needed for events
- Provide all information necessary to open registration for ISACA group live events
- Coordinate and provide all data and information necessary for development of conference mobile application in collaboration with mobile application provider and internal stakeholders.
- Maintain procedure documentation for all event logistical functions
- Process and prepare all registration materials for all face to face conferences and training events
- Oversee domestic and international shipments of conference supplies
- Factors – only for Spanish speaking countries
- Development and submission of mass mails and emails relating to conference events
- Coordinate virtual conferences Assist Web developer & Marketing team in initial set up of information for all face to face conferences and training events offered by ISACA
- Maintain, record and report conference attendance, hotel room counts, and exhibitor revenue within the departments dashboard overview report weekly
