SourceMedia has an exciting opportunity for a detail-oriented, enthusiastic, and bright individual in our Conferences and Events division. We are looking for a Conference Coordinator to support a busy conference department. As such you will be responsible for:
  • All aspects of conference registration including: data entry, customer service, and on-site registration coordination (ie printing and distributing badges, processing onsite registrations, attendee replacements and maintaining records of all changes and payments)
  • Taking incoming calls with courteous, professional telephone etiquette
  • Respond to all conference registration inquiries, concerns and requests that come in through email, phone or mail within a 24-48hr timeframe
  • Respond to and handle in a timely and accurate fashion daily internal requests from internal Conference departments (Sales, Telesales, Event Planners, Programmers and Marketing) & external requests from attendees, sponsors and exhibitors
  • Obtain and evaluate all relevant information to handle inquiries and complaints
  • Direct requests and unresolved issues to the designated source
  • Efficiently and accurately process all conference registration orders, changes, cancellations, price adjustments, letters of credit & refunds
  • Provide on time and accurate list preparation to be used for onsite registration for 45-60 annual conferences (including but not limited to list cleanup, additional registrations, changes or adjustments)
  • Prepare in a timely & accurate manner pre-printed Conferences badges
  • Prepare onsite registration forms for event planners to use onsite at events
  • Provide on time and accurate post-conference list cleanup, additions, deletions, changes, no shows or adjustments (to be completed within 2-3 days of receipt of post show data)
  • Maintain hard copy and electronic spreadsheet records of letters of credit & refunds.
  • Maintain, stock and reorder all conference supplies as needed (badge stock, ribbons, holders etc..)
  • Travel on-site (when needed) to Conferences to manage onsite registration including training of temporary registration staff
  • Provide weekly status reports to Director of Conference Operations
  • Attend conference progress meetings with internal conference departments as needed
The Ideal candidate will have the following:
  • 2 years customer service experience preferably within the conference and event industry a plus
  • Exceptional verbal and written communication skills
  • Strong Microsoft Excel, Word and Outlook knowledge
  • Must be deadline oriented
  • Strong proficiency with database management
  • Strong organizational skills with the ability to excel at multitasking and meeting all deadlines
  • Strong commitment to providing excellent customer service
  • Strong attention to detail and accuracy
  • Excellent typing skills
  • Be able to travel to events as needed (At most 2-4 times per year)
