Position Summary

The Conference Services Coordinator collaborates with customers about various configurations for room-setups to accommodate different events and schedules meetings with internal customers to ensure meeting setups and all issues/complaints are addressed and resolved.

Position Activities
Organizes a high quality, customer focused Conference room service, providing enhanced support to over 10 state-of-the art rooms.
Acts as first point of contact for all room issues, providing timely response and coordination.
Enters the work orders with all necessary information through Maintenance Express.
Reconciles weekly billing for the conference rooms using the established fee schedule.
Maintains conference room set-up processes to ensure that conference rooms are set up consistently.
Sets up all meeting room logistics, i.e., AV, food/beverage, cleaning services, between the internal sources
Liaises closely with the catering, housekeeping and audiovisual services and provides the service support required.
Advises users on meeting room availability and suitability by using the MRM Room Booking System.
Coordinates all meeting room bookings.
Performs other related duties as assigned.
      Minimum Requirements
      Associates Degree or equivalent experience / training in high volume conference settings.
      Organizing and executive ability. Thorough familiarity with conference and event coordination. Proficiency in scheduling and other software programs. Resourcefulness in conducting event support operations to facilitate and support the mission of the conference services unit. Sensitive to the needs of faculty, staff and students and the union’s educational role.
      Highly Desired Requirements
      Bachelors Degree with experience in hotel or institutional management.
      Skill and Abilities
      Excellent communication skills and strategic planning ability.
      High degree of attention to detail and the ability to work under pressure.
      Physical Demands
      Able to lift 20 lbs
      No relocation assistance is provided for this position.
