SBM Offshore is seeking an Administrative Assistant to work in the Construction & Installation Department to handle the administrative and coordination duties for the Department, with specific responsibility to the Department Manager. Essential function details are listed below.
Responsibilities involved in this position are:
Typing of specific and general documents and daily correspondence.
Creating and maintaining all chronological project or departmental files as requested.
Creating and updating daily locator and travel itineraries for department staff members.
Maintaining call and email communications in the absence of the Department Manager and redirecting calls or emails to an appropriate person or taking messages as needed.
Completion of department personnel’s expense reports.
Assist department personnel with preparation and upload of eDMS documents on projects (as required)
Maintain and organize the department’s electronic and paper archives as well as other general administrative clerical and filing duties.
Attend Department meetings, take notes and prepare minutes
High school Diploma or GED Certificate, with preference given to those with a college degree. Qualified candidates will possess a minimum of 5 years previous administrative assistant experience supporting a department in an Oil and Gas environment. Good knowledge of relevant software tools including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, Visio, etc.
