Department Capital Programs/Program Control

Basic Functions Provides advanced administrative and technical assistant to the Program Control division in support of the implementation of capital projects within the Capital Programs department. Provides direct coordination and support to the Sr. Director of Program Control and division staff. Assist with developing recommendations, analyzing and developing reports for divisional budgets and supports the development and production of various other reports utilizing multiple program-control computer based systems.
Responsibilities and Specific Duties Prepares the monthly/quarterly cost & progress reports, to include the collection of data, inputting data, report generation, and quality control.
Coordinates with various divisions to accumulate data; and inputs, verifies, and balances spreadsheets to produce reports.
Operates the Project Management 32 system, making all budget changes and transfers.
Updates capital project listing for project activity code changes and advises appropriate project team members of the updates.
Responsible for producing departmental reports on various corridor studies and builds computer slide show presentations for each, as needed.
Provides administrative support to the Sr. Director and staff; prepares correspondence, answers phones, maintains Sr. Director's calendar. Coordinates and arranges meetings, conferences, as requested.
Assists in organizing, and compiling facts and figures used to develop department#s capital budget and division's operating budget. Administers the division's operating budget, audits and reconciles expenses and establishes working and historical budget files. Assists in development and maintenance of Cost-Breakdown-Schedule for the METRORail Expansion (MRE) program and coordination with Finance for activating/de-activating project account codes.
Maintains general and department files.
Supports other executive assistants within the department, as directed.
Promotes safety awareness and follows safety procedures in an effort to reduce or eliminate accidents.
Performs other duties as assigned.
Minimum Qualifications/Requirements B.S. degree in business or related field preferred. Minimum five (5) years progressive administrative/executive level and two (2) years experience in data analysis, with exposure to statistics, accounting, budgeting, analyses, and report development. Experience in an Engineering project management or finance work environment desired.
Must be action-oriented; have multi-tasking capabilities; ability to think logically with excellent coordinating and time management organizational skills. Attention to detail, good human relations and customer service skills. Requires excellent proficiency with PC's and related software; Microsoft Office; spreadsheets and word processing. Good organizational and analytical skills. Excellent verbal and written communication skills. Ability to function within a multi-functional team.
