Job Description Summary
The Coordinator supports the planning, coordination, and execution of logistics for all college programs and events.

Essential Responsibilities
• Provides administrative support to the Events Management Office and its directors, including front office greetings.
• Provides event support to all EMO staff, including coordinating with on campus vendors.
• Serves as vendor coordinator for Reunion Weekend, Commencement, and other events as necessary.
• Liaison with external vendors for various event/program needs, i.e., awards, gifts, giveaways, etc.
• Liaison with copy center and College Marketing for all collateral and other publication materials.
• Coordinates liquor license applications and permit requests with the Town of Wellesley and key campus stakeholders.
• Coordinates volunteers for campus events.
• Maintains campus calendar and all event spreadsheets, keeping an accurate record of all event details.
• Responsible for creating and maintaining RSVP process for events: including reporting, printed materials, seating spreadsheets, etc. through use of event related systems.
• Tracks attendance, trends, and expenses.
• Manages/supports meeting preparations for the office.
• Designs,organizes, and implements administrative systems and procedures.
• Provides smooth day-to-day flow of communication among staff.
• Oversees hiring, scheduling, training, and supervising of student assistants.
• Assumes additional responsibilities as required.
Minimum Experience
Education Requirements:
Minimum Level of Education Required Bachelor’s Degree
• A minimum of 2-4 years of administrative experience

• Ability to be self-directed and work in a fast paced environment, with often conflicting priorities and multiple demands
• Customer service oriented
o Strong verbal, organizational, interpersonal, and communication skills
• Ability to maintain a high degree of confidentiality at all times
• Excellent typing and editing skills
• Excellent attention to detail
• Thorough knowledge of MS Office (Word, Excel, Power Point, Outlook, Access) is necessary – other software knowledge helpful including Millennium database, ActiveData and web publishing
• Ability to perform complex computer functions, such as database management and file merges.
• Familiarity with event execution and planning is essential
• Demonstrates success in working with volunteers
• Ability to interact with various constituencies, as well as colleagues across the institution is essential.
Working Conditions:
• Valid unrestricted U.S. Driver’s License, with an insurable driving history as determined by Babson’s insurance carrier.
• Ability to work some nights and weekends
Additional Experience, Skills & Abilities:
• Familiarity with events in Higher Education or other non-profits helpful
