Job Description POSITION PURPOSE Primarily help manage, coordinate and facilitate group bookings within the Special Markets or SMERF (Sports/Social, Military, Education, Religion, Fraternal) and Association segments, and support the managers who are responsible for production goals in these segments. Secondarily, assist with processing select Tour & Travel leads and managing the applicable paperwork. Effectively communicate to all hotel departments the information necessary to successfully execute the groups' needs while maintaining a good client relationship. In addition, some general support of the overall office will be required. This position will also work closely with Convention Services, Front Desk and Food & Beverage. ESSENTIAL FUNCTIONS - Maintain strong client relations and ensure that client paperwork is prepared and executed in a timely and accurate manner. This will include but is not limited to: * proposals * contracts * process/manage rooming lists * cost worksheets * maintaining tour breakfast calendar * tracing and verifying deposit information has been received * providing turnover to Convention Services - Assist Managers/Directors by providing potential clients with collateral information such as floor plans, menus, meeting special offers, etc. - Assist with email blasts, promotional events and other communications as needed. - In conjunction with Director of Group Sales, maintain/update Need Date calendar. - Input new groups' information and block space in ISAC computer system, and monitor Galaxy reservations system for discrepancies with groups. - Assist with maintaining Tour & Travel relationships and promoting need dates as applicable. - Perform general administrative functions as required, including answering phones, fielding new group inquiries (recording all appropriate information, perform basic qualification and distribute to the appropriate manager), and performing copying, scanning and faxing as requested. SUPPORTIVE FUNCTIONS In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the hotel: * Professionally represent the hotel in community and industry organizations and events. * Participate as a team player with all departments. * Provide constructive feedback to all departments. * Be a leader and a role model to all employees. * Working knowledge of federal, state and local laws governing equal employment opportunity and civil rights, occupational safety and health, wage and hour issues, and labor relations, including, but not limited to the following statutes and their comparable state and local laws (where applicable): Title VII, ADEA, Equal Pay Act, Pregnancy Discrimination Act, FLSA, ADA, OSHA, FMLA, and NLRA.
Requirements QUALIFICATION STANDARDS Education High school or equivalent education required. Bachelor's Degree preferred. Experience At least one year of group sales, catering sales and/or convention services experience preferred. Licenses or Certificates Not applicable. Grooming All employees must maintain a neat, clean and well-groomed appearance per Starwood standards.
