Corporate Event Planner Job Description Under general supervision responsible for all aspects of planning and executing on-site and off-site corporate events, including but not limited to booking meeting locations and hotels, selecting caterers and menus, managing budgets, negotiating contracts, arranging transportation, securing volunteer staff, and hiring vendors. Responsibilities include marketing, signage, audiovisual equipment arrangement, printing and security arrangements etc. Event Planner may also be responsible for the arrangement of appropriate transportation and accommodation of participants attending a specific event and the acquisition of any necessary licenses or permits. The work of the Event Planner is very fast paced and often includes working nights and weekends, especially before and during an event; it might also require occasional travel to out-of-town conferences and events. Physical activities, such as setting up exhibits, carrying supplies and patrolling the event space, are often necessary. A key role of planners is to ensure that the attendees of an event leave with a positive experience. No matter what the nature of the organized event is, the major duties and responsibilities of event planner always remain the same. Duties & Responsibilities Plan and execute all corporate events. Build relationships with vendors and internal clients/decision makers Attend appropriate training (negotiating, event management) Develop and refine checklists and guidelines for event management, and communicate these guidelines with Marketing support in each division and regional office Create and maintain a storage area for materials Manage event promotional campaigns (event theme to execution of event) Establish timelines and milestones and manage all dates throughout the campaign process Work closely with the Internal Communications Coordinator for key events. Attend events to provide on-site direction and execution of logistics Work jointly with creative team on development of event related materials including invitations, signage, décor, branded event merchandise and related collateral Elicit event feedback, identify opportunities for process improvements, provide analysis, propose change strategies, and communicate proposed strategies. Recruit and manage volunteer staff as needed Manage budget of all events. Knowledge of all applicable government regulations or legal requirements (i.e., need for security personnel). Professionally communicate with executives. Nontraditional hours Creative ideas – think out of the box for new event ideas Track event budgets, expenses, invoices and payments to ensure accurate spend tracking of all events 100% customer service mentality

        Experience & Skills
        · Minimum of 2 or more years in the field or related area and demonstrated familiarity
        with standard concepts, practices, and procedures within the field.

        · Bachelor's degree to include business, marketing, public relations, or hotel/hospitality management.
